As a Program Coordinator, you'll play an important role in supporting the daily operations of the residential program while helping maintain a safe, organized, and compliant environment for residents, staff, families, and visitors.
This is a fast-paced, results-oriented position for a motivated professional who can multitask, build strong working relationships, support staff, and help ensure that program operations consistently meet organizational, regulatory, and contractual requirements.

What You'll Do
The Program Coordinator supports the safe and effective operation of the PATHS residential program while assisting with regulatory compliance, staff coordination, residential programming, documentation, and quality improvement.
Program Operations & Safety
Your responsibilities may include:
• Support the safety of residents, staff, visitors, and the communities served by PATHS.
• Help ensure the interior and exterior of the program remain safe, clean, and appropriately maintained.
• Support residential programming and appropriate participation in recreational and community-based activities.
• Monitor safety-related systems and report maintenance or operational concerns.
• Assist with ensuring fire alarms, security devices, fire extinguishers, door alarms, communication systems, and other safety equipment remain operational.
• Conduct or participate in facility observations and safety checks as assigned.
• Remain available for residential matters as required.
Regulatory & Compliance Support
• Support compliance with DHS, OMHSAS, Philadelphia DHS, MCOs, PREA, COA, and other applicable requirements.
• Assist with compliance with Commonwealth, county, federal, licensing, and contractual requirements.
• Help maintain current program policies and procedures.
• Monitor required employee training and certifications.
• Assist with appropriate reporting of incidents and compliance concerns.
• Review documentation for accuracy and completeness.
• Escalate significant programming emergencies and compliance concerns to the Director of Residential Services.
• Support adherence to organizational policies and regulatory standards.
Staff Coordination & Support
• Support the Case Manager, Therapist, Family Therapist, and Youth Counselor teams.
• Assist with staff communication, coordination, and collaboration.
• Support staff mentoring and training activities.
• Assist with staffing coordination and maintaining required staffing ratios.
• Monitor employee schedules and communicate staffing concerns to leadership.
• Support onboarding and training of new employees.
• Encourage teamwork, accountability, professionalism, and effective communication.
• Assist leadership with addressing operational or performance concerns.
Referral & Residential Programming
• Assist with reviewing program referrals within required timeframes.
• Collaborate with the Clinical Therapist and Referral Development team regarding referrals.
• Support safe and appropriate residential programming.
• Assist with recreation and community-based activities.
• Participate in multidisciplinary meetings, resident town meetings, trainings, and other program meetings.
• Maintain awareness of resident needs and communicate concerns to appropriate team members.
Quality Improvement & Program Development
• Participate in Performance and Quality Improvement activities.
• Assist with distribution and collection of PQI surveys.
• Support parent, resident, and stakeholder feedback activities.
• Participate in focus groups and other quality improvement activities.
• Attend safety committee meetings as assigned.
• Help identify opportunities to improve program operations, safety, and service quality.
Family, Community & Stakeholder Relations
• Support effective communication with parents and families.
• Assist with updates to the Parent Handbook and communication of program changes.
• Respond professionally to concerns from residents, families, staff, and other stakeholders.
• Escalate complaints and concerns appropriately.
• Support positive relationships with referring agencies, regulatory bodies, and community partners.
Documentation & Electronic Health Records
• Support proper use of the Electronic Health Records system.
• Help ensure consistent and accurate data entry.
• Assist with maintaining organized program documentation.
• Support reporting and data collection activities.
• Review documentation for completeness and accuracy.
• Maintain confidentiality and comply with applicable privacy requirements.
Administrative Support
• Assist the Director of Residential Services with program operations and administrative responsibilities.
• Support budget and purchasing processes as assigned.
• Coordinate with Maintenance regarding facility needs.
• Assist with vendor and maintenance coordination.
• Review and route invoices and other administrative documentation as directed.
• Report injuries, workers' compensation matters, and other incidents appropriately.
• Communicate planned absences and scheduling needs to leadership.

QualificationsEducation & Experience
• Bachelor's degree preferred.
• Relevant supervisory, residential treatment, youth services, or program coordination experience preferred.
• Specific training and/or experience working with adolescents and/or individuals who have exhibited sexually problematic behaviors is required.
• Clinical knowledge and experience preferred.
Communication Skills
• Ability to communicate effectively through written and verbal communication.

Annual Training: 40 hours after the initial year of employment, with 30 hours required during the initial year.
Schedule
Full-Time
This position supports a residential treatment program and may require flexibility to respond to program needs outside of standard business hours.
License & Requirements
• Valid driver's license required.
• Must successfully complete all required organizational and regulatory training.
• Must meet applicable employment and background requirements.
