Welcome… We are Dr. Connor and Dr. Rachel Wolfe, a husband-and-wife team, who are passionate about guiding others in restoring their health. We opened our holistic healthcare clinic, The Wellness Way - Sarasota in May 2021 in Sarasota, Florida. Since then, we have been helping thousands of people suffering from chronic illness gain a new perspective on their health. We are enthusiastic about bringing hope and healing to those who are suffering from a variety of health conditions, including autoimmune disease, cancer, hormone imbalances, gut issues, and so much more. We focus on educating our patients on lifestyle modifications to lessen their reliance on medications or surgeries. The Wellness Way – Sarasota started with just the two of us as practitioners and has now grown to four practitioners, a doctor assistant/phlebotomist, and four patient coordinators. We have big dreams and want to help as many people as possible. To achieve our goals, we need help with leading and managing our team, providing exceptional service to our patients, and ensuring that all office policies and procedures are streamlined and followed for efficiency. We have the desire to expand our reach while at the same time prioritizing our own health and family. For that, we need an office leader who we can trust to run the day-to-day operations. WHAT WE NEED: A confident leader who excels in problem solving and decision making to assist in running the office and our team effectively. You must be ambitious and have a cheerful outlook to lead by example; you should have a desire to develop personally and professionally. You must have an eye for detail and possess the operational skills necessary to ensure all practices and procedures are being followed and are efficient. TASKS: Team Management · Manage all team members (i.e. hiring, terminating, promoting, developing, serving, reviewing, and training) · Coordinate monthly one-on-one meetings with each team member, including associate chiropractors, to review stats, KPIs, goals, etc. · Manage office calendar for upcoming events, staff birthdays, employment anniversaries, office giveaways, staff time off, etc. · Manage PTO for all team members · Coordinate any student shadows and/or interns (HIPAA forms, intern paperwork) · Onboard all new staff members · Track staff hours · Communicate with Headquarters about events, procedures, software, updates, etc. · Coordinate social media with our Social Media Manager Clinic Growth · Accountable for office growth and performance · Track daily, weekly, and monthly stats for the office as a whole · Track monthly stats for each doctor · Coordinate weekly team meetings to promote growth and development · Lead weekly staff trainings · Develop KPIs for tracking patient referrals and retention · Evaluate clinic flow to improve efficiency, focusing on patient experience satisfaction; continue to look for ways to improve, lower costs, and increase revenues · Find new ways to organize staff and implement systems to maximize productivity in the workplace and meet clinic objectives · Communicate vital information to staff, doctors, and clinic owners · Function as a liaison between the staff and doctors who work at the clinic · Establish and oversee patient billing practices and complete bank deposits per clinic owners’ instructions · Maintain responsibility for clinic function and uphold clinic confidentiality per HIPAA · Keep staff morale positive and lead by example by providing servant leadership · Oversee all social media postings of the clinic to ensure they align with branding expectations, proper communication, professionalism, consistent in timeliness, and continue to entice the public to build our social media following · Learn the basics of the Dignify System and teach staff how to use it · Complete additional training and continuing education as asked · Teach staff the procedures set forth by The Wellness Way and hold them accountable · Attend annual seminars out of state · Attend all trainings (usually via zoom) that are scheduled by the Clinic Owners · Implement and follow up with the staff on any current information taught in the trainings Problem Solving · Manage escalated patient issues and determine an adequate solution for both patient and clinic · Address issues as they arise and keep the Clinic Owners informed on significant issues · Use the Dignify System to address employee issues · Troubleshoot software when able to or hand off to the correct person · Contact outside companies and fix issues as they arise with IT equipment/products in clinic · Suggest solutions to improve office functions · Manage any refunds Implementation · Conduct new product, services, and systems implementation as instructed by the Clinic Owners · Assist in the transition to new Wellness Way Software · Function as overflow to answering incoming phone calls, greeting visitors and ensure the clinic delivers world-class experience and service to our patients, especially as a fill in for staff · Responsible for ordering all office supplies for the clinic while having awareness to clinic budget · Plan office giveaways, community outreach events, in-office events, and staff events etc. · Run weekly team meetings POSITION REQUIREMENTS · Understanding of chiropractic & The Wellness Way and willingness to lead by example by embracing The Wellness Way lifestyle · Previous experience in managing an office with team and client-facing communications · Take initiative to problem solve and work with the team to create long-term solutions · Passion for health and a desire to make an impact with your work · Dedication to improving team culture with positivity and adaptability · Proficient in Microsoft Outlook, Word and Excel; running reports, taking inventory, tracking data · Be able to communicate with the team and clients clearly and directly · An eye for identifying operational gaps and confidence to take initiative · Can effectively manage multiple tasks with time-management, organizational skills, and prioritization – using high attention to detail · Strong decision-making skills that solve problems in a timely manner that align with The Wellness Way values · Empathetic listening skills · A desire to continuously improve leadership skills · Project management skills to build and assign out tasks for processes and procedures Please begin your response to this email with the phrase “I see details” so I know you read this in its entirety.
