Role Description The Residential Assistant Property Manager is a full-time, on-site role based in Manatee and Sarasota, FL. This position supports the Property Manager in overseeing day-to-day operations for residential properties, including responding to resident inquiries, coordinating maintenance requests, and ensuring a high standard of customer service. The role assists with lease administration, such as preparing lease documents, processing renewals, tracking key dates, and maintaining accurate resident records. Responsibilities also include conducting property walk-throughs, helping with move-in and move-out processes, and monitoring property condition and vendor performance. The Residential Assistant Property Manager will collaborate with the team to address resident concerns, support occupancy and retention goals, and ensure that policies and procedures are followed.

Position Summary
Gulf Income Properties is seeking an organized, dependable, and service-focused Assistant Property Manager to support the daily management of our residential rental portfolio.
This position involves a wide variety of property management responsibilities, including communication with owners and residents, maintenance coordination, leasing support, property inspections, account follow-up, documentation, and administrative work. The ideal candidate is comfortable managing multiple priorities, communicating professionally, solving problems, and following established procedures.
Primary ResponsibilitiesResident Relations
• Respond professionally and promptly to resident questions and concerns.
• Assist residents with portal access, payments, maintenance requests, lease questions, and general account matters.
• Document resident communications and maintain accurate records.
• Follow up on lease violations, unpaid balances, required documents, and other outstanding matters.
• Help coordinate notices and other communications in accordance with company procedures and applicable laws.
Maintenance Coordination
• Receive, review, and process maintenance requests.
• Determine the urgency of reported issues and escalate emergencies promptly.
• Communicate with residents, owners, vendors, and contractors throughout the repair process.
• Obtain estimates and owner approvals when required.
• Schedule repairs, inspections, preventative maintenance, and follow-up visits.
• Review work orders, invoices, photographs, and completion notes for accuracy.
• Confirm that repairs have been completed satisfactorily before closing work orders.
Leasing and Tenant Placement Support
• Respond to rental inquiries and provide information about available properties.
• Assist with property marketing, showings, applications, and applicant communication.
• Help collect required identification, income documentation, and application materials.
• Coordinate lease preparation, lease signing, deposits, move-in requirements, and key distribution.
• Assist with lease renewals, nonrenewal notices, rent adjustments, and related documentation.
• Perform only those activities permitted under Florida law based on the employee’s licensing status.
Property Inspections
• Assist with move-in, move-out, routine, renewal, and property-condition inspections.
• Take clear photographs and prepare detailed inspection reports.
• Identify maintenance concerns, lease violations, safety issues, and potential property damage.
• Communicate inspection findings to management and coordinate necessary follow-up.
• Track required repairs or corrections until they are completed.
Owner Support
• Communicate professionally with property owners regarding maintenance, resident concerns, leasing activity, inspections, and property performance.
• Request owner decisions or approvals when necessary.
• Provide organized updates supported by photographs, estimates, invoices, and other documentation.
• Help ensure that owner questions and requests are addressed promptly.
• Maintain appropriate boundaries between owners, residents, and vendors.
Delinquency and Lease Compliance
• Monitor rent payments, outstanding balances, lease violations, and required resident documentation.
• Contact residents regarding unpaid balances and unresolved compliance issues.
• Prepare notices and documentation for management review.
• Coordinate with attorneys, vendors, and other professionals when authorized.
• Maintain accurate records of all collection and compliance efforts.
Move-Ins and Move-Outs
• Coordinate move-in dates, inspections, utility requirements, deposits, keys, and resident orientation.
• Confirm that properties are clean, safe, functional, and ready for occupancy.
• Process notices to vacate and provide residents with move-out instructions.
• Coordinate final inspections, estimates, repairs, cleaning, and property turnover.
• Help prepare security-deposit documentation and supporting records in accordance with company procedures and Florida law.
Administrative Responsibilities
• Maintain complete and accurate records in the company’s property management software.
• Update owner, resident, property, vendor, lease, and maintenance information.
• Organize leases, notices, invoices, inspection reports, photographs, and correspondence.
• Assist with utility coordination, HOA requirements, insurance documents, vendor records, and property files.
• Track deadlines and follow up on incomplete or outstanding tasks.
• Assist the Property Manager and company leadership with additional operational duties as needed.
Required Qualifications

Preferred Qualifications
• Previous experience in residential property management, leasing, real estate, maintenance coordination, hospitality, or customer service.
• Familiarity with Florida landlord-tenant practices and Fair Housing requirements.
• Experience using property management software and electronic inspection systems.
• Florida real estate license or willingness to obtain one if the position’s assigned duties require licensing.
• Bilingual English and Spanish communication skills are helpful but not required.
