Job Overview We are seeking a proactive and organized Office Administrator to join our dynamic team. In this vital role, you will manage daily office operations, provide exceptional customer support, and ensure smooth communication across departments. Your expertise in office management and clerical tasks will be essential in maintaining an efficient work environment and delivering outstanding service to our clients. Duties Oversee front desk operations, greeting visitors and managing multi-line phone systems with professionalism and courtesy Handle data entry, filing, and document proofreading to ensure accuracy and organization Manage calendar scheduling, appointment setting, and calendar management for team members Utilize computer skills including Microsoft Office and Google Workspace for report preparation and correspondence Provide customer support by addressing inquiries promptly via phone or email, demonstrating excellent phone etiquette Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Support office management functions such as supply ordering, maintaining office equipment, and coordinating maintenance requests Qualifications Proven office experience with strong clerical skills and familiarity with office management procedures Excellent organizational skills with the ability to multitask effectively in a fast-paced environment Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong typing skills with attention to detail for data entry and proofreading tasks Experience with multi-line phone systems and phone etiquette to handle calls professionally Bilingual abilities are a plus for communicating with diverse clients and team members Prior experience as a dental or medical receptionist or personal assistant is advantageous but not required Knowledge of bookkeeping software such as QuickBooks is preferred for supporting financial tasks Demonstrated time management skills to prioritize tasks efficiently in a busy office setting Pay: $17.00 - $21.00 per hour Benefits: 401(k) 401(k) matching Dental insurance Health insurance Health savings account Paid time off Retirement plan Vision insurance Work Location: In person
