Order Management Specialist
The Role
This customer-facing role is key to supporting efficient operations and delivering positive customer experiences. The Specialist will be responsible for accurately entering, reviewing, and managing customer orders, from receipt through fulfillment. In addition, the Specialist ensures timely processing, coordinates with production and supply chain, and maintains clear communication with customers to provide updates and resolve issues.
Job Duties and Responsibilities (include but are not limited to)
• Receive and enter customer orders into the system with accuracy and attention to detail
• Verify pricing, product availability, lot assignment, and shipping information before order confirmation
• Coordinate with production and shipping teams to ensure timely order fulfillment
• Work with production planning to issue production requests for pending customer orders; meet weekly with the production planner to review open orders and update lead times for customer communication
• Monitor order status and proactively communicate delays or issues to customers and internal teams
• Respond to customer inquiries regarding order status, lead times, and changes
• Process order modifications, cancellations, and returns as needed
• Maintain accurate records of orders, shipments, and customer interactions
• Work closely with sales and account managers to ensure customer expectations are met
• Assist supply chain and account managers with resolving discrepancies related to inventory, shipments, or invoicing
• Support continuous improvement efforts by identifying and helping address process inefficiencies
• Submit daily invoices and follow up on accounts receivable
• Utilize CRM to ensure customer accounts and orders are updated properly
• Other duties as needed
Qualifications
Required
• Associate's or Bachelor's degree in Business, or a related field; equivalent work experience considered
• At least 1-3 years of experience in order management, customer service coordination, or inside sales support
• Proficiency with ERP systems (Fishbowl preferred)
• Experience with CRM platforms (HubSpot preferred)
• Strong data entry accuracy and attention to detail
• Working knowledge of invoicing and accounts receivable processes
• Proficiency in Microsoft Excel and the broader Microsoft Office Suite
• Clear written and verbal communication skills with a customer-first mindset
• Ability to manage multiple priorities in a fast-paced environment
• Strong problem-solving skills with the ability to resolve order discrepancies and customer issues independently
• Ability to collaborate across departments and teams to solve problems and serve customers
Preferred
• Experience in a biotech, life sciences, or specialty chemical environment
• Experience working in an ISO 9001 environment
• Familiarity with lot tracking, certificates of analysis (COAs), or regulated product documentation
• Exposure to production planning or supply chain coordination workflows
• Experience supporting accounts receivable follow-up and collections
