POSITION SUMMARY
The Registrar manages student registration, maintains digital records, and ensures the distribution of progress reports and report cards. This role involves registering new and returning students, preparing withdrawal forms, and creating student schedules. The Registrar also provides clerical support and information, adhering to strict privacy policies.
MINIMUM REQUIREMENTS
EDUCATION:
• High school diploma or GED equivalent
CERTIFICATION/LICENSE:
• Criminal Justice Fingerprint
• Background Clearance
WORK EXPERIENCE:
• Experience in administrative and secretarial work preferred

Skills-based Competencies
Required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including software and preparing; maintaining accurate records; analyzing data; applying job-related codes, regulations, and laws; operating standard office equipment and office technology; promoting activities and/or events; screening telephone calls; using general office software applications.

Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations, and laws related to student enrollment, graduation, and transfer; business telephone etiquette; bookkeeping practices; concepts of grammar, spelling, and punctuation; job-related codes/laws/rules/regulations/policies; keyboarding; office equipment and technology; and  recordkeeping and record retention practices.

Required to schedule activities, meetings, and/or events; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using standardized methods. ESSENTIAL DUTIES (Generally ranges from 5-10 bullet points)
• Develops master class schedules, ensuring accuracy in course details and class sizes, and assists with administrative office operations.
• Attends various meetings and workshops to exchange information necessary for job functions.
• Evaluates incoming students' transcripts to accurately transfer grades and credits into the system.
• Alerts relevant staff about potential student course deficiencies to help meet student needs.
• Maintains and updates a range of documents and records, ensuring compliance with administrative guidelines and legal standards.
• Manages student enrollment and withdrawal processes to meet regulatory requirements.
• Prepares and distributes standardized documents and reports, such as report cards and schedules, to communicate essential information.
• Processes documents like transcripts and employment verifications to fulfill external requests from various agencies.
• Responds to inquiries from internal and external sources, providing guidance and information while ensuring the accuracy of student records.
• Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit
