Preferred Qualifications Position Summary
The Events and Training Coordinator within the New Media Institute provides direct oversight to NMIXpo, Small Talk 101, and TEDxUGA—three of the Institute’s hallmark events – as well as NMIXed—the Institute’s executive education program. This position is responsible for leading and coordinating the efforts of New Media Institute faculty and staff, the New Media Advisory Council, the TEDxUGA Steering Committee, the TEDxUGA Class, and NMIXed campus and corporate clients. Oversight includes comprehensive planning, promotion and communication strategies, fiscal management, stakeholder coordination, and operational execution. In addition, the Coordinator manages donor and sponsor engagement, coordinates speaker logistics, and promotes program visibility, playing a key role in supporting the mission and daily operations of the New Media Institute.
Knowledge, Skills, Abilities And/or Competencies
• Demonstrated ability to plan and execute complex events and programs, including coordination of logistics, schedules, and on-site operations.
• Strong skill in managing multiple stakeholders, including faculty, students, advisory groups, corporate partners, and external clients.
• Ability to coordinate professional development or training initiatives, including facilitator support and participant engagement.
• Knowledge of basic financial and administrative processes, including budget tracking, purchasing, and compliance with policies.
• Effective communication and organizational skills, with the ability to manage multiple priorities, solve problems in real time, and support marketing and outreach efforts.
Physical Demands
• Ability to stand and walk for extended periods during event setup, execution, and breakdown.
• Ability to lift and carry materials and equipment weighing up to 25 pounds.
• Manual dexterity and visual acuity for working on computers, setting up event materials, and handling logistics.
• Occasional bending, stooping, reaching, and climbing ladders or stairs during event preparation.
• Ability to drive or travel between on-campus and off-site event locations as needed.
• Flexibility to work evenings and weekends during major events.

Event Planning and Execution – 20%
• Coordinate all aspects of NMIXpo, Small Talk 101, TEDxUGA, and other institute events, including planning, logistics, execution, and post-event assessment.
• Manage visitor and speaker schedules and associated travel arrangements.
• Ensure smooth on-site operations during events and address any real-time issues.
Percentage of time 20 Duties/Responsibilities
NMIXed Planning and Execution – 20%
• Coordinate all aspects of the NMIXed program including planning, logistics, execution, and post-event assessment.
• Manage facilitator scheduling and preparation.
• Manage client and registrant enrollment and relationships.
• Ensure smooth on-site operations during sessions and address any real-time issues.
Percentage of time 20 Duties/Responsibilities
Financial and Administrative Operations – 15%
• Manage state and foundation accounts for the New Media Institute and TEDxUGA.
• Assist with purchasing, reimbursements, and monthly financial tracking and reporting.
• Ensure compliance with university policies and procedures.
Percentage of time 15 Duties/Responsibilities
Donor and Sponsor Support – 15%
• Support recruitment, stewardship, and recognition efforts for NMIXpo and TEDxUGA donors and sponsors.
• Maintain donor records and coordinate with development staff as needed.
Percentage of time 15 Duties/Responsibilities
Marketing and Promotion – 15%
• Promote the NMI and TEDxUGA through various channels to enhance brand visibility and increase attendance.
• Assist in creating marketing materials, event graphics, and digital communications.

Stakeholder Engagement and General Support – 15%
• Serve as liaison to students, faculty, staff, alumni, donors, registrants, industry contacts and clients, and campus partners.
• Provide oversight to student workers and Graduate Assistants.
• Perform other duties as assigned by the director.
