Job Summary The Sleep Authorization & Scheduling Coordinator is responsible for obtaining insurance authorizations for sleep-related diagnostic and treatment services and coordinating patient scheduling for sleep studies, consultations, and follow-up appointments. This role serves as a key liaison between patients, providers, insurance companies, and clinical staff to ensure timely access to care and accurate documentation. Essential Responsibilities Insurance Authorization Verify patient insurance eligibility and benefits. Obtain prior authorizations for sleep studies, PAP therapy, and related services. Submit clinical documentation to insurance carriers as required. Track authorization status and follow up on pending requests. Communicate authorization outcomes to patients and clinical staff. Maintain accurate records of approvals, denials, and appeals. Assist with denial management and appeal submissions when necessary. Scheduling Managing referrals, creating new charts for patients and new scheduling consultations Schedule diagnostic sleep studies, CPAP titrations, consultations, and follow-up appointments. Coordinate patient appointments to maximize laboratory and provider utilization. Confirm appointments and provide patients with preparation instructions. Reschedule appointments as needed while minimizing scheduling gaps. Maintain accurate scheduling records within the electronic medical record (EMR) system. Manage waitlists and fill cancellations efficiently. Patient Service Serve as a primary point of contact for patients regarding scheduling and insurance questions. Provide professional, courteous, and timely communication. Educate patients on authorization requirements and appointment expectations. Collaborate with physicians, technologists, and administrative staff to support patient care. Qualifications High school diploma or equivalent required; associate degree preferred. Minimum 1–2 years of medical scheduling, insurance authorization, or healthcare administrative experience preferred. Experience with prior authorizations and insurance verification strongly preferred. Knowledge of sleep medicine, durable medical equipment (DME), or respiratory services is a plus. Proficiency with EMR systems and Microsoft Office applications. Strong organizational, communication, and multitasking skills. Ability to maintain confidentiality and comply with HIPAA regulations.
