Job Summary We are seeking a dynamic and organized School Office Manager to oversee the daily operations of our school’s administrative office. This vital role ensures smooth communication, efficient office management, and a welcoming environment for students, staff, parents, and visitors. The ideal candidate will bring strong organizational skills, leadership experience, and a proactive attitude to support the school's mission and foster an engaging educational atmosphere. As the backbone of our administrative team, you will coordinate essential functions such as scheduling, vendor relations, human resources tasks, and financial management to keep our school running seamlessly. Duties Manage all front desk operations, including greeting visitors, answering multi-line phone systems, and maintaining professional phone etiquette. Oversee calendar management for school events, meetings, and appointments to ensure timely coordination and communication. Supervise administrative staff and provide training & development opportunities to foster a high-performing team. Coordinate event planning for school functions, parent meetings, and community activities to ensure successful execution. Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers. Maintain accurate bookkeeping records using QuickBooks or similar accounting software; oversee payroll processing and budget tracking. Manage human resources functions such as employee records, onboarding new staff, and supporting staff development initiatives. Oversee office supplies inventory, filing systems, and recordkeeping to ensure compliance with policies and smooth daily operations. Support medical office management duties if applicable; coordinate health-related documentation and emergency procedures. Facilitate effective communication across departments through clear messaging and organizational tools to promote a collaborative environment. Experience Proven experience in office management or administrative roles within an educational or medical setting is highly preferred. Supervising experience with teams in fast-paced environments demonstrates leadership capabilities. Strong proficiency in QuickBooks or comparable bookkeeping/accounting software is essential. Demonstrated ability in event planning, schedule management, vendor relations, and budget oversight is required. Prior experience with human resources functions such as payroll processing and staff training is advantageous. Excellent communication skills combined with organizational expertise are critical for success in this role. Familiarity with multi-line phone systems, calendar management tools, filing systems, and front desk operations will support your effectiveness as a School Office Manager.
