Position Summary
The Receptionist / Office Coordinator & Client Experience Representative serves as the face and voice of Davis Sign & Awning. This individual is responsible for creating a welcoming experience for clients, vendors, and visitors while supporting the day-to-day operations of the company.
The ideal candidate is organized, professional, detail-oriented, and enjoys serving others. This position requires someone who thrives in a fast-paced environment, can effectively manage multiple priorities, and maintains a positive, solutions-oriented attitude throughout the day.
As the first point of contact for many clients, this individual plays a critical role in ensuring every interaction reflects the quality, professionalism, hospitality, and responsiveness that define Davis Sign & Awning.
Key Responsibilities
Customer Service & Reception
• Greet and welcome all clients, vendors, and visitors.
• Maintain a professional, friendly, and welcoming front-office environment.
• Answer incoming phone calls and route inquiries to the appropriate team member.
• Take accurate messages and ensure timely follow-up.
• Assist walk-in customers with basic questions and requests.
• Coordinate client appointments and meetings as needed.
• Serve as a positive first impression of Davis Sign & Awning.
• Manage multiple incoming requests while maintaining professionalism and responsiveness.
Client Hospitality
• Maintain beverages, snacks, and refreshments for clients and guests.
• Prepare conference rooms and reception areas for meetings.
• Ensure visitors feel welcomed and cared for during their visit.
• Help create a positive and memorable client experience.
• Maintain a clean, organized, and professional reception area.
• Anticipate client needs and proactively create a welcoming environment.
Administrative & Accounting Support
• Prepare and send customer invoices.
• Process payments and assist with accounts receivable activities.
• Maintain accurate customer records and documentation.
• Assist with filing, data entry, and office organization.
• Support project managers and leadership with administrative tasks as assigned.
• Assist with maintaining customer files and project documentation.
• Ensure administrative tasks are completed accurately and on time.
Office Coordination
• Maintain the appearance and organization of the reception area and common spaces.
• Order and manage office supplies and refreshments.
• Coordinate incoming and outgoing mail, packages, and deliveries.
• Support company events, meetings, and employee activities.
• Assist with maintaining office systems and procedures.
• Help ensure the office remains organized, efficient, and welcoming.
• Identify opportunities to improve office organization and efficiency.
Qualifications
• High school diploma or equivalent.
• Prior receptionist, customer service, administrative, or office experience preferred.
• Strong verbal and written communication skills.
• Professional appearance and demeanor.
• Excellent organizational and multitasking abilities.
• Ability to thrive in a fast-paced, deadline-driven environment.
• Ability to manage multiple priorities and frequent interruptions while maintaining accuracy and professionalism.
• Strong attention to detail and commitment to follow-through.
• Proficiency with Microsoft Office and general computer systems.
• Experience with QuickBooks or invoicing systems is preferred.
• Ability to work independently while supporting a team environment.
• Strong customer-service mindset and a genuine desire to serve others.
• Positive attitude, strong work ethic, and willingness to learn.
