Actively participates in the facilities safety observation programPerforms recordkeeping for all required documentation per IP record retention policy and regulatory requirementsManage hourly work schedules/payroll practices and attendance reportingProvides clerical support for the office and production team when neededCoordinates records retention for departmentParticipates in SharePoint maintenance for the departmentAssists in managing general building maintenance by coordinating with maintenance and housekeepingAssists with scheduling meetings/teleconferences/appointments for managers and other staff membersSupports meetings by ordering meals, coordinating meeting locations, and tracking equipmentArranges for company business lunches on and off-siteMakes travel arrangements for managers and staffCoordinates the mail service needs for the department by picking up mail and delivering mail to Security at the beginning and at the end of each work dayOrders and maintains office suppliesEnters purchase requisitions and generates check requests when neededUpdates procedures and policies as requestedSeeks out and implements best practices using teams, databases, vendors, and other resourcesPerforms any other duties related to the position of administrative assistant as directed by the managers or requested by the staffThe Skills You Will Bring: Minimum of three (3) years administrative assistant experience required, 5+ years of experience preferred. Experience with payroll systems and SAP preferredExperience managing SharePoint preferredMust have strong computer experience using Microsoft Office and Excel as well as experience using reporting database systems.
