HR Coordinator
Your Role
The Human Resources Coordinator provides essential administrative and coordination support across core Human Resources functions. This role ensures the accurate, timely, and compliant execution of HR processes while delivering a positive employee experience.
The Human Resources Coordinator supports the employee lifecycle by managing HR administration, documentation, data entry, reporting, and coordination of programs such as onboarding, benefits, recruitment, training, and employee records. This position serves as a first point of contact for routine and specialized HR inquiries and plays a critical role in maintaining operational efficiency within the Human Resources team.
Responsibilities
HR Administration & Employee Support
• Serve as a first point of contact for employees and managers regarding routine and specialized HR inquiries, escalating issues as appropriate.
• Maintain accurate and up-to-date employee records in HR systems and personnel files.
• Manage employee lifecycle activities including onboarding, transfers, leaves of absence, and offboarding.
• Respond to general HR questions, escalating issues as needed, while ensuring confidentiality and professionalism.
• Support employees and managers with HR policies, procedures, and any applicable specific employment standards in compliance with State and Federal regulations
• Coordinate events, meetings, employee recognition activities, and development sessions.
• Participate in ad hoc HR meetings, projects, and continuous improvement initiatives.
Recruitment & Onboarding Support
• End to end ownership responsibility to coordinate new hire onboarding activities including system access, orientation scheduling, and documentation completion.
• Ensure all pre-employment and onboarding requirements are completed accurately and on time.
• Manage process of acquiring, managing and exiting contract/temporary employees.
Benefits & Payroll Coordination
• Support payroll processes by submitting accurate employee data changes and assisting with audits and reconciliations.
• Assist with Workers’ Compensation claims, Short Term and Long Term Disabilities, medicals, and leave-related follow-up.
HR Systems & Reporting
• Enter and maintain employee data in HRIS systems (e.g., Workday).
• Generate standard HR reports related to headcount, turnover, training, and compliance and ad hoc reports as requested.
• Support data integrity through regular audits and validation of HR records.
Compliance & Documentation
• Maintain HR files and documentation in accordance with confidentiality and privacy standards.
• Support audits and compliance reporting as required.
• Manage pre-employment, for cause and random drug/alcohol testing program (USA)
HR Programs & Initiatives
• Coordinate logistics for HR programs such as training sessions, engagement initiatives, and performance management cycles.
• Administer employee communications related to HR programs, policies, and initiatives.
• Provide administrative support for cyclical HR processes including performance reviews, engagement surveys, and policy updates.
Your Profile
Education, Certification & Experience
• BS in Business, HR or or a related field required
• 1-3 years of experience in an HR administrative or coordination role preferred.
Systems & Technology
• Experience using an HRIS (Workday preferred).
• Proficiency with Microsoft Office (Excel, Word, PowerPoint).
• Ability to manage data accurately and maintain organized electronic and physical files.
Functional HR Knowledge
• General understanding of Human Resources processes including recruitment, onboarding, benefits, and employee records.
• Basic awareness of employment legislation and confidentiality requirements.
• Ability to follow established procedures and escalate concerns appropriately.
Skills & Capabilities
• Strong organizational and time-management skills with attention to detail.
• Effective written and verbal communication skills.
• Ability to handle confidential information with professionalism and discretion.
• Strong customer service mindset and ability to work collaboratively.
• Comfortable managing multiple priorities in a fast-paced environment.
