Job Summary We are seeking a dynamic and detail-oriented Office Manager / Bookkeeper to oversee daily office operations while managing financial records with precision and care. Responsibilities Manage daily office functions, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy Oversee scheduling management for staff, meetings, events, and appointments to ensure optimal time utilization Handle vendor management by coordinating supplies, services, and contracts to maintain seamless operations Maintain accurate bookkeeping records using QuickBooks or similar accounting software, including invoicing, expense tracking, and bank reconciliations Assist with human resources tasks such as onboarding new employees, maintaining personnel files, and supporting training & development initiatives Process payroll accurately and timely while ensuring compliance with relevant regulations Support budgeting efforts by monitoring expenses, preparing reports, and identifying cost-saving opportunities Organize filing systems for documents such as medical records (if applicable), administrative files, and client information to ensure easy retrieval Supervise administrative staff or team members involved in clerical or office management tasks to foster a collaborative work environment Coordinate event planning activities for organizational functions or community outreach programs Skills Proven experience in office management combined with strong bookkeeping skills using QuickBooks or comparable software Demonstrated supervising experience with the ability to lead and motivate team members effectively Excellent communication skills—both verbal and written—with professional phone etiquette and customer service orientation Exceptional organizational skills with the ability to manage schedules, calendars, and multiple priorities efficiently Experience in vendor management, contract negotiation, and maintaining positive vendor relationships Knowledge of human resources processes including onboarding, payroll processing, and employee development programs Familiarity with medical office management (if applicable), filing systems, front desk operations, and multi-line phone systems Strong attention to detail in bookkeeping tasks such as invoicing, expense tracking, budgeting, and financial reporting Ability to handle clerical responsibilities like filing documents accurately and managing administrative paperwork This role is perfect for someone eager to bring energy into an administrative environment while ensuring financial accuracy.
