Position Title: Federal Programs Secretary
Reports to: Director of Federal Programs
Job Purpose: To perform those tasks necessary to assure the successful operation of Federal Programs
ESSENTIAL DUTIES AND RESPONSIBILITIES. Other Duties May Be Assigned.
Compliance & Reporting
• Prepare, compile, and file documentation for federal, state, and local reports, including Title I, Title II, Title III, Title IV, Title V, ATSI, and CSI.
• Prepare and/or submit reports and supporting documents to appropriate agencies.
• Maintain inventory and equipment in accordance with federal regulations.
Data Management
• Maintain, update, and monitor databases related to federal program compliance.
• Track personnel time and effort records, as well as attendance data.
Record Keeping
• Maintain organized and accurate files for audits, grant applications, and personnel records.
Financial Records
• Use Excel and district accounting software to manage budgets, track expenditures, and
perform required data entry.
Required Abilities
• Handle confidential information with discretion.
• Work effectively under pressure and manage frequent interruptions.
• Demonstrate strong attention to detail and organizational skills.
Qualifications And Requirements
To be successful in this position, an individual must be able to perform each essential duty accurately and efficiently. The requirements listed below are representative of the knowledge, skills, and abilities required.
Education And Experience
• Preferred: Associate degree (two-year college degree).
• Minimum of three (3) years of related experience.
• Experience working effectively with administrators and other personnel.
Skills And Abilities
• Ability to prepare accurate reports and business correspondence aligned with the responsibilities of this position.
• Ability to effectively present information and respond to questions from administrators, staff, and the general public.
• Strong communication, computer, and interpersonal skills.
• Ability to learn and adapt to new software systems as they are implemented or upgraded.
• Demonstrated proficiency in keyboarding, along with strong grammar, spelling, and punctuation skills.
WORK SCHEDULE: 240 days/ 7.5 hours per day
SALARY: K240 of the Admin Non-Certified Salary Schedule
