Customer Service Coordinator The Global Customer Service Coordinator I provides administrative and order management support for global customer accounts as well as internal sites within the Cooling Tower division. This role is responsible for accurate order entry, assisting the coordination of international shipments, and day-to-day communication between customers and internal departments including Global Customer Service, Shipping, Production, and Procurement. The Coordinator I ensures timely processing of orders, maintains accurate system data, and supports cross-functional communication to meet customer expectations. The employee may perform other related duties as required to support the ongoing needs of the organization. Essential Responsibilities: Perform accurate and timely data entry for all international orders. Work directly with Global Customer Service, Shipping, Production, Cost Accounting, Finance, and Procurement teams to coordinate order processing and fulfillment. Learn and effectively utilize Syteline to maintain high order entry accuracy and data integrity. Respond to customer inquiries and provide order verifications within a 24-48 hour period. Enter quotes into the system utilizing approved pricing sheets. Update orders based on Purchasing release communications and provide revised order verifications to customers as required. Maintain detailed and accurate order notes to ensure clear communication between Sales, Operations, and Customer Service. Provide shipment tracking updates and respond to tracking requests. Maintain shipping schedules for assigned accounts and proactively communicate discrepancies or delays to customers, international colleagues, and the Global Support Supervisor. Support international account coordination to ensure on-time delivery and customer satisfaction. Essential Skills: Associate degree preferred in Business or related field; or equivalent combination of education and experience. Ability to read, analyze, and interpret plans, specifications, technical documentation, financial reports, and legal documents. Ability to respond effectively to customer inquiries and resolve routine concerns in a professional manner. Ability to prepare and present information to customers, engineers, contractors, and internal management. Proficiency in spreadsheet preparation and calculations including percentages, discounts, commissions, and basic financial metrics. Strong analytical skills with the ability to gather data, identify issues, and draw logical conclusions. Ability to interpret technical instructions in written, mathematical, or diagram form. Strong organizational skills with attention to detail in a fast-paced environment. Effective written and verbal communication skills.
