ACCA is looking for an Executive Administrator to support our President/CEO and the Leadership Team.
About Us: Founded in 1967, the Athens Community Council on Aging is a private, non-profit organization providing services to older adults and adults with disabilities in 67 counties of Northeast and East Georgia. Through innovative programs and service delivery, ACCA provides opportunities for individuals of all ages and abilities to live and age well.
Our Story : Older adults are the fastest growing segment of our population in Northeast Georgia. Throughout ACCA’s history, we have offered vital services to older adults and adults with disabilities that meet the current and emerging needs of this population. ACCA must respond to the rapidly growing number of individuals in need of services while ensuring that the programs and services we provide remain innovative, relevant and meet the specific needs of older adults in Northeast Georgia.
Reporting directly to the President/CEO, the Executive Administrator is a highly organized and detail-oriented professional who provides essential administrative and operational support to the President/CEO and Leadership Team. This role is integral to ensuring smooth daily operations, coordinating executive and board functions, and supporting key financial and administrative processes.
The Executive Administrator will manage executive scheduling and communications, coordinate leadership and board meetings, assist with preparation for presentations and special projects, and support financial operations including accounts payable, accounts receivable, and maintaining accurate financial documentation in coordination with ACCA’s contracted CPA.
This position requires strong written and verbal communication skills, exceptional organizational abilities, attention to detail, and discretion in handling confidential information. The ideal candidate thrives in a dynamic environment, can effectively prioritize multiple responsibilities, and enjoys working collaboratively with internal and external stakeholders.

Essential Responsibilities:
Administrative Duties:
• Act as liaison between President/CEO and stakeholders, clients, constituents, staff, and the ACCA Board of Directors.
• Manage the President/CEO’s administrative tasks, including managing the appointment calendar, email communication and updates, and expense reports and files.
• Schedule Leadership Team and Program Director routine meetings and prepare agendas and notes. Attend Leadership Team meetings to record key decisions and action items.
• Reserve meeting rooms, provide refreshments for meetings, and provide general clerical support to prepare for meetings and events.
• Compose, prepare, and maintain correspondence involving complex and non-routine matters as instructed by the President/CEO and Leadership Team.
• Assist the President/CEO and Leadership Team with preparing for community presentations.
• Liaise with key program staff to coordinate special projects as directed by the President/CEO or Leadership Team.
Board of Directors Support:
• Maintain Board Member Communication.
• Make all arrangements for Board of Directors’ meetings; working with the Board Secretary, prepare and send the meeting agenda.
• Create and prepare minutes from Board of Directors (BOD) meetings on behalf of the Board Secretary. Manage BOD committee minutes and official communication records.
• Communicate updates via e-mail to the Board of Directors.
• Schedule and organize meetings of the Board of Directors, including orientation, monthly meetings, committee meetings, and the annual board retreat. Maintain all records and documents concerning board work.
Financial Support:
• In coordination with the contracted CPA, manage on-site accounts payable and accounts receivable to include:
• Ensuring invoices are received, coded, and paid in a timely manner.
• Processing and coding payments, ensuring they are correctly deposited.
• Maintaining accurate financial records and documentation related to transactions.
• Supporting financial reporting and reconciliation processes as needed.
General Responsibilities:
• Provide general administrative support, including mailing, scanning, faxing, and copying.
• Attend required meetings, staff development programs, and training sessions.
Essential Requirements :

• Impeccable written and oral communication skills.
• Associate’s degree or exemplary experience combined with a High School degree will be considered.
• Ridiculously detail oriented.
• Able to represent the President/CEO and Leadership Team with professionalism, confidentiality, and personality.
• Goal oriented.
• Able to work some evenings and weekends.
• Valid Georgia Driver’s License required.
Our Hiring Process & Timeline:
• We will receive and review resumes ongoing until the position is filled.
• We will begin scheduling interviews as qualified applicants apply.
• If you are chosen for an in-person interview, we will ask for two work samples relevant to this position (ex: a process you created, writing sample or other relevant materials).
• Finalists may be invited to a second-round interview, and we will make an offer shortly after.
• We would like to have the selected candidate start no later than mid-April.
