Position Summary
The Facilities Manager is responsible for supporting the Director of Physical Plant in the daily management, coordination, and oversight of campus facilities operations. This position supervises maintenance operations, coordinates work orders and campus projects, and ensures that campus buildings and infrastructure are maintained in a safe, efficient, and professional manner.
The Facilities Manager plays a key leadership role in planning, organizing, and directing maintenance activities while working closely with custodial, grounds, and facilities personnel. This role supports and facilitates departmental administration, vendor coordination, and operational planning.
This position may require occasional after-hours response to facilities emergencies and operational issues.
The Facilities Manager's primary duty is the coordination, supervision, and management of facilities operations and staff; the position is not intended to regularly perform routine maintenance or manual trade work except in limited or emergency circumstances.
Key Responsibilities
Facilities Operations & Maintenance Management • Coordinate the planning, coordination, and oversight of campus facilities operations in collaboration with the Director of Physical Plant.
• Provide leadership and direction to maintenance personnel to ensure efficient completion of work orders, repairs, and preventative maintenance.
• Exercises independent judgment in prioritizing maintenance activities, coordinating facilities operations, and resolving operational issues affecting campus facilities.
• Coordinate and prioritize daily maintenance activities across campus buildings and grounds.
• Monitor and track facilities work orders and service requests to ensure timely resolution.
• Support preventative maintenance programs for campus infrastructure, mechanical systems, and equipment.
• Oversee the planning and coordination of facility repairs, renovations, and improvement projects.
Staff Supervision & Leadership • Works collaboratively with the Director of Physical Plant and third-party facilities vendors to coordinate facilities operations and support the work of maintenance and custodial staff.
• Oversee the scheduling, work assignments, and performance oversight for facilities personnel.
• Promote a culture of accountability, safety, and high service standards within the department.
• Support staff training, development, and operational efficiency initiatives.
Administrative & Operational Support • Provide administrative and operational support to the Director of Physical Plant and Facilities leadership team.
• Maintain records, reports, and documentation related to facilities operations, maintenance activities, and compliance requirements.
• Facilitate department budgeting, purchasing, and vendor coordination.
• Coordinate contractor access, project scheduling, and service provider activities on campus.
Campus Coordination • Serve as a liaison between Facilities and other campus departments regarding maintenance requests, events, and operational needs.
• Coordinate facilities support for campus events, moves, and special projects.
• Ensure clear communication between facilities staff and campus stakeholders.
Safety & Compliance • Ensure maintenance activities comply with institutional policies, safety regulations, and applicable codes.
• Support campus safety initiatives related to facilities operations.
• Proactively identify potential building or infrastructure issues and coordinate corrective actions.
Emergency Response • Respond to facilities-related emergencies and urgent maintenance issues as needed.
• Respond to occasional after-hours calls related to campus operations.
Qualifications
Education • Bachelor's degree in Facilities Management, Construction Management, Logistics, Business Administration, or a related field preferred; or minimum 5-7 years of experience in facilities operations, maintenance, or facilities coordination, preferably in multi-unit or campus environment.
• Demonstrated experience supervising maintenance operations or coordinating facilities services.
Knowledge, Skills, and Abilities • Strong knowledge of building systems, maintenance practices, and facilities operations.
• Proven leadership and staff coordination abilities.
• Strong organizational and problem-solving skills.
• Ability to prioritize multiple projects and operational demands.
• Effective communication and collaboration skills.
• Proficiency with facilities management systems, work order software, and standard office applications.
Physical Requirements • Ability to walk campus facilities and inspect buildings.
• Ability to lift and move materials consistent with facilities operations.
• Ability to respond to facility locations across campus as needed.
