Position Summary: The Booking & Purchasing Project Coordinator plays a critical role in ensuring the successful execution of residential replacement/trade projects from the point of sale through bookings. This individual supports the Sales Support and Operations teams by verifying payment, reviewing orders, purchasing products, coordinating third-party items, and organizing project timelines and details. This is an on-site, highly collaborative role that requires excellent attention to detail, project coordination skills, and a proactive approach to customer service. Key Responsibilities: Project Order Coordination Review customer orders to ensure accuracy with project scope and proposal. Adjust and process orders in alignment with manufacturer and third-party specifications. Manage the purchase of windows, doors, and related accessories and approved vendors. Organize project documentation and track all job-specific information. Coordinate project scheduling with internal teams and external partners. Purchasing & Vendor Communication Purchase products from 3rd party vendors as needed for project completion. Verify and adjust external purchase orders for accuracy and delivery timelines. Track order status and follow up with vendors to avoid delays or product issues. Reconcile purchasing documentation and ensure timely, accurate records. Customer and Installer Support Confirm payment receipt and communicate readiness for install. Respond promptly to questions or issues from internal teams. Support smooth execution of each project while maintaining a high level of customer satisfaction. Qualifications & Skills: Required: 1–2 years of experience in project coordination, preferably in construction, remodeling, or home improvement. Strong organizational skills with attention to detail and deadlines. Ability to manage multiple projects and shifting priorities. Excellent written and verbal communication skills. Confidence using Microsoft Office (Excel, Outlook) and CRM/ERP platforms. Self-motivated, adaptable, and solutions-oriented. Preferred: Knowledge of building materials, window/door products, or construction terminology.
