Job Description
What does this role entail? The Project Accountant/Administrator (PA) position provides primary administrative support for the construction projects from startup through final closeout. The PA serves as the liaison between the project team in the field and the accounting department ensuring all accounting standard operating procedures and policies are followed. The PA performs activities related to subcontracts, purchase orders, bonds, insurance, payables, lien waivers, notice to contractors, billings, and cost/budget reports.
Essential Roles You Will Play:
Assist project team as needed.
Assist with project set up and ensure Notice of Commencement is filed in timely manner.
Compile, distribute and process subcontracts and purchase orders.
Oversee and ensure rapid OCIP (Owner Controlled Insurance Program) enrollment on projects and all required non-OCIP insurance documents are received; maintain and manage communication with OCIP Administrator.
Collect and submit for approval all project related invoices through TimberScan; ensure appropriate cost code/type assignment and GL dates are used, timely approval, and timely cost import into accounting system.
Review all monthly project commitment pay applications in Procore; ensure appropriate invoice numbering system and billing dates are used, ERP syncing rules are followed, timely approval, and timely cost import into accounting system
Collect, track, and index all payment related documents including, but not limited to subcontracts, purchase orders, change orders, P&P Bonds, lien waivers, affidavits, notice to contractor documents, notices of non-payment and close out documents; ensure proper compliance with applicable state lien laws and RangeWater standards and policies.
Track and index Notice to Contractor notifications and lower tier lien waivers; ensure all lower tier subcontractors and suppliers are paid timely to reduce financial risk.
Manage relations with subcontractors/vendors to resolve paperwork and payment issues; escalate as needed.
Collaborate with Buyout Manager to create and maximize monthly owner billings; compare against job cost detail report; compile all necessary support documents for owner approval.
Maintain organized filing procedures.
Work diligently with project team to ensure timely accounting project close out.
Maintain current, up to date knowledge of lien laws and best practices; attend training and educational programs as needed.
Provide documentation and support to accounting department as needed during annual audit.
Other duties as assigned.
Work Hours and Work Environment:
Hours of Operation: Monday - Friday 8:00am - 5:00pm

Education and Experience:
Education: Bachelor’s degree preferred
Experience Preferred: Accounts payable, administrative and construction industry experience preferred
Computer Skills: Demonstrated proficiency in Internet, Project Accounting software, spreadsheet, presentation, and database management programs in order to complete required reports and employment documents. Strong proficiency in the use of Microsoft Office programs such as Word, Excel, Outlook, Power Point and Project. Ability to research, learn and understand new software, applications, and hardware and disseminate the pertinent information to other team members.

Physical Requirements:
Weights Requirements: Must be able to push, pull, lift, carry, or maneuver weights up to twenty (20) pounds independently and fifty (50) pounds with assistance.
Mobility Requirements: The employee is frequently required to stand, walk, reach with hands and arms, climb, stoop, and squat. Intermittently required to sit and perform keyboard work.
Travel Requirements: Routine local travel may be required to run business-related errands including but not limited to meetings and training. Non-local travel may be required for business-related responsibilities.
