Overview We are seeking a highly organized and proactive Business Office Manager to oversee the daily operations of our office environment. This role requires a versatile professional capable of managing administrative functions, supervising staff, coordinating vendor relationships, and ensuring efficient office workflows. The ideal candidate will possess strong communication and organizational skills, with experience in office management, bookkeeping, and human resources. This position offers an excellent opportunity to contribute to a dynamic organization while utilizing a broad skill set in administrative and office operations. Responsibilities Oversee daily office functions, including front desk operations and multi-line phone systems Manage calendar scheduling, appointments, and meeting arrangements for staff and executives Supervise administrative staff and coordinate training & development initiatives Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record maintenance Manage vendor relationships, negotiate contracts, and coordinate procurement activities Assist with human resources functions such as onboarding, employee records management, and payroll processing Plan and coordinate events, meetings, and company functions to ensure smooth execution Maintain filing systems, records management, and document organization for easy retrieval Ensure effective communication within the team through phone etiquette and clear correspondence Support budgeting processes by monitoring expenses and preparing financial reports related to office operations Supervise medical office management tasks if applicable, ensuring compliance with relevant policies Requirements Proven experience in office management or administrative roles with supervisory responsibilities Strong proficiency in QuickBooks and familiarity with bookkeeping practices Excellent organizational skills with the ability to manage multiple priorities efficiently Effective communication skills both written and verbal; professional phone etiquette required Experience with event planning, vendor management, and calendar management tools Knowledge of human resources procedures including payroll processing and employee onboarding Ability to supervise staff effectively while fostering a positive team environment Office experience in clerical or administrative roles; medical office management experience is a plus Demonstrated ability to handle confidential information discreetly and professionally Strong problem-solving skills with attention to detail in all aspects of office operations “Note: This position requires screening through the AHCA Clearinghouse.
