Randstad is proud to partner with a local engineering firm to find an Office Manager who is ready to be more than just a "coordinator." We are looking for a foundational team member who wants to grow alongside a premier engineering firm. We aren’t looking for someone to just "maintain" a desk; we need a proactive partner. As the firm evolves, so will this role. You will be responsible for: Operational Agility: Managing the current day-to-day office flow while remaining flexible to adopt new responsibilities as the firm expands. Tech Forwardness: Embracing and implementing new software and project management tools. You should be the person who says, "There's a more efficient way to do this," and then leads the transition. Industry Support: Diving into the "nitty-gritty" of engineering admin—tracking permits, managing COIs, and assisting with complex project proposals. Leadership Pipeline: Setting the gold standard for administrative processes today so you can lead and mentor your own direct reports tomorrow. What You Bring to the Table Adaptability: A proven track record of succeeding in roles that have changed over time. You don't just "handle" change; you drive it. Industry Knowledge: Experience in AEC (Architecture, Engineering, Construction) is highly preferred, but a quick-study mindset is mandatory. Tech Fluency: Advanced skills in MS Office 365 and the ability to quickly master industry-specific ERP or project software. Professionalism: You are the face of the firm for clients and the backbone of the office for our staff. This isn't a stagnant position. This is an invitation to build a department. If you are tired of "business as usual" and want a role where your career trajectory is linked to the company’s success, we want to hear from you. salary: $26 - $34 per hour shift: First work hours: 8 AM - 5 PM education: High School Responsibilities Operational Leadership: Manage daily office flow, vendor relations, and supply procurement while developing SOPs for future growth. Project Coordination: Track municipal permits and manage Certificates of Insurance (COI) to keep engineering timelines on schedule. Growth & Leadership: Establish the administrative foundation today with the intent to recruit and lead a support team as the firm expands. Proposal Support: Assist leadership in the assembly, formatting, and timely submission of project bids and RFPs. Financial Admin: Support the business through light bookkeeping, expense tracking, and client invoicing. Document Control: Maintain organized digital and physical project archives, ensuring data integrity across the firm. Tech Evolution: Proactively identify and implement new software and tools to automate manual tasks and increase office efficiency. HR & Culture: Facilitate new-hire onboarding and spearhead team-building events to maintain a positive, high-energy firm culture.
