Executive Assistant to President/CEO and Leadership Team
A confidential, growth-oriented organization is seeking a highly capable Executive Assistant to serve as a trusted partner to the President & CEO. This role is ideal for a proactive, business-minded professional who excels at high-level executive support while also driving operational excellence, cross-functional coordination, and internal process improvement.
This position goes beyond traditional executive assistance, offering meaningful exposure to company operations, strategic initiatives, and leadership decision-making in a fast-moving environment.
About the Role
• Manage and protect the President & CEO’s calendar, priorities, communications, and day-to-day workflow
• Act as a proactive gatekeeper, anticipating needs and resolving issues before escalation
• Prepare executive briefs, agendas, presentations, reports, and follow-up documentation
• Draft, edit, and manage executive communications, correspondence, and internal materials
• Coordinate meetings, travel, and logistics with precision and discretion
• Serve as a liaison between the executive office and internal teams, clients, vendors, and external partners
• Support company-wide initiatives by coordinating timelines, deliverables, and cross-functional collaboration
• Track action items, risks, and dependencies, providing clear updates to leadership
• Establish, document, and maintain Standard Operating Procedures (SOPs) across administrative and operational workflows
• Oversee office operations and administrative systems to ensure efficiency, consistency, and scalability
• Maintain organized and secure company records, contracts, and documentation
• Support marketing and growth initiatives, including content coordination, internal communications, CRM maintenance, and event logistics
• Assist with meetings, conferences, and events, including planning, vendor coordination, and execution
About You
• 5+ years of experience supporting C-suite executives in an executive assistant, executive operations, or business operations role
• Bachelor’s degree preferred or equivalent professional experience
• Strong organizational, planning, and project coordination skills with exceptional attention to detail
• Excellent written and verbal communication skills with a polished executive presence
• Highly proactive, resourceful, and comfortable operating with autonomy
• Ability to manage multiple priorities, stakeholders, and initiatives in a dynamic environment
• Tech-savvy with experience using modern productivity, CRM, documentation, and e-signature tools
• Strong problem-solving skills and sound judgment
• Highly trustworthy with absolute discretion when handling confidential and sensitive information
• Calm under pressure, adaptable, and execution-focused
