Job Description
We are seeking a highly motivated and enthusiastic Front Desk Coordinator to join our team at the Dermani Medspa Athens, GA location! Dermani Medspa is a reputable medspa that originated in Atlanta, GA. We are a fast growing company that focuses on providing wonderful customer service, and scientific evidence based aesthetic services to our patients.
This is a part time position that can average 15-30 hours a week, operating in 10 hours shifts. Our hours of operation are Monday through Friday, 9:00-7:00, Saturday 9:00-5:00. *Must be able to work on Saturdays.*
Responsibilities:
• Creating a welcoming atmosphere in the lobby. Most importantly, providing quality customer service to our patients
• You will coordinate and oversee all facets of front office duties; providing a knowledgeable check-in and check-out process, rescheduling, taking payments, signing up clients for memberships, coordinating and communicating with providers, etc
• Manage patient information and accurately documenting in patient profiles
• Answering phone calls with professionalism, politeness, and positivity
• Respond to daily incoming emails and inquiries, and follow up on Leads
• Keep the front desk and lobby area clean and organized. Light cleaning during downtime
• Open and close the front desk/lobby area
• Communicate regularly with Clinical Director regarding any client situations seen through emails, messages, or interactions at the front desk
• Maintain a business professional appearance with attire, hair, make-up, etc
• Prospecting for new clients/members to grow the business
• Manage front desk coordinators schedules
• Office supply inventory and retail inventory management
• Review client accounts for accuracy
• Adhere and has full knowledge of Dermani MEDSPA® Front Office Manual, services, and memberships details
• Field phone calls regarding client’s accounts
• General accountability for all front office activities in the facility
Qualifications:
• The ideal candidate should have a minimum of 2 years of customer service or front desk experience, with a preference for those with prior experience in an aesthetics/med spa or healthcare environment
• Strong knowledge or familiarity with aesthetic treatments, medical grade skincare products, and trends in the aesthetic, beauty, and wellness industry
• Sales and commission driven
• Focused on contributing to the growth of our company
• Ability to work cohesively with others and be a team player
• Ability to complete and prioritize duties without supervision
• History of strong work ethic, punctuality, good attendance, and reliability
• Proficiency in using office software, POS, and scheduling systems, experience with ZENOTI software is a plus
• High school or equivalent (Required)
• Customer service: 2 years (Required)
• Managerial/supervisor experience: 1-2 years (Required)
• Med spa/aesthetic/healthcare experience: 1-2 years
