About the Opportunity
Our client is seeking a highly organized and proactive Executive Assistant / Personal Assistant to provide comprehensive support to the Chief Operating Officer (COO). This individual will serve as a trusted partner, managing both professional and personal responsibilities to ensure the COO’s time is optimized and daily operations run smoothly. The ideal candidate will be detail-oriented, adaptable, and capable of anticipating needs in a dynamic and fast-paced environment.
Key Responsibilities
Executive Support
• Manage the COO’s calendar, schedule meetings, and coordinate travel arrangements
• Prepare agendas, presentations, and meeting materials; take and distribute notes as needed
• Track and follow up on action items, ensuring deadlines are met
• Assist with communications—draft emails, correspondence, and reports on behalf of the COO
• Handle confidential information with discretion and professionalism
Personal Assistant Duties
• Assist with personal scheduling and family-related logistics as needed
• Coordinate personal travel, reservations, and errands
• Manage household vendors, service providers, and special projects on behalf of the COO
Operational & Administrative Support
• Liaise with internal leadership teams to streamline operations and communication
• Support expense reporting, budgeting, and invoice management
• Research and prepare information for projects, presentations, and decision-making
• Act as gatekeeper and representative of the COO in interactions with employees, clients, and external partners
Qualifications
• 5+ years of experience as an Executive Assistant, Personal Assistant, or similar role supporting C-Suite leadership
• Strong organizational and time management skills with the ability to multitask and prioritize
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with collaboration tools (Teams, Zoom, etc.)
• Excellent written and verbal communication skills
• High level of discretion, integrity, and professionalism
• Flexible, resourceful, and solution-oriented
• Experience handling both corporate and personal assistant duties a strong plus
