Supervisor: CEO Department: Development FLSA Status: Full-Time/Hourly POSITION SUMMARY: Under the supervision of the CEO, the Community Engagement & Special Events Coordinator is responsible for maintaining a consistent presence in the community to cultivate, manage, and sustain relationships and partnerships. Responsibilities include facilitating and coordinating the agency’s volunteer, supporter, and community engagement, fundraising, and volunteer recruitment efforts. The role requires a creative, detail-oriented, highly organized, and strategic thinker with a background in fundraising and event management. The Community Engagement & Special Events Coordinator will help lead sustainable growth, pursue new sponsors and partners, maintain and elevate current sponsors and partners, and expand development capabilities. ESSENTIAL FUNCTIONS SPECIAL EVENT FUNDRAISING, PLANNING, AND EXECUTION: Ensure an organizational liaison for all third-party fundraising events, providing promotional support and attending events Proactively engage in the community to identify and pursue potential sponsors and seek opportunities to establish and grow sponsor partnerships Cultivate and steward relationships with sponsors and participants, ensuring they receive exceptional customer service and ongoing engagement with the organization Facilitate individual donor fundraising appeals and activities Planning and management of major fundraising events, including Bowl For Kids’ Sake, Hook & Slice, and Frosty Fun Runs, to meet fundraising goals Vendor management: oversee coordination of schedules (includes: venue contracts, collateral, save-the-dates, invitation design, printing and mailing, caterers, entertainment, photographers, and videographers) Participate in public relations and agency fundraising events and projects Other duties as assigned VOLUNTEER RECRUITMENT AND COMMUNITY ENGAGEMENT Develop and/or support opportunities for recruitment of children and volunteers through a range of strategies: Work with staff to develop and implement a volunteer recruitment plan, including campaigns, presentations, etc., to produce the needed number and diversity of volunteer inquiries, to support program service goals Create and implement volunteer recruitment strategies that include new and existing partnerships with collegiate, corporate, and community organizations Capitalize on networking opportunities: engage actively with stakeholders and cultivate community/partner relationships when opportunities present themselves Leverage role and agency connections to identify opportunities for in-kind donations (e.g., sporting events, theatre tickets, etc.) in support of match outings or quarterly events Leverage new and existing relationships to identify individuals who might volunteer in other capacities within the agency Responsible for creating and generating new contacts for: development, volunteer/child recruitment, marketing, program, etc., to assist with driving and attaining agency goals Organize and conduct information sessions, presentations, and recruitment events, as needed Recruit partners to offer discounted activities and experiences for Bigs and Littles Collaborate with program staff to conduct at least two volunteer trainings per year Engage volunteers to meet varied needs in agency programs through active recruitment, recognition and retention strategies QUALIFICATIONS: Associate or bachelor’s degree in communications, Business, or related field preferred Minimum one year of fundraising, business development, non-profit event planning, or related experience Proficient in using Office 365, Including Microsoft Outlook, Word, Excel, and Teams A positive, optimistic, and energetic personality Excellent organizational and multi-tasking skills Exceptional verbal and written communication skills Strong interpersonal skills and relationship-building skills with proven ability to work with diverse populations Ability to work independently Ability to work effectively with colleagues, promote cross-functional communication, and problem-solving Professional appearance and demeanor Flexible and adaptable to change Accuracy and attention to detail Reliable transportation, auto insurance, and a current driver’s license WORK ENVIRONMENT & PHYSICAL DEMANDS: The environmental conditions described are representative of those that an employee must meet to perform the functions of the job successfully.
