Position Summary : Supervises, guides and/or instructs the work assignments of Program Associate staff. Performs a variety of clerical and administrative support functions. The work includes operating standard office equipment. Job Responsibilities and Performance Standards: Supervises and plans the work of assigned staff: With input from each employee, define and discuss performance goals and/or required results at the beginning of each performance period. Completes the required written documentation of performance goals. Encourages employees to improve the quality and quantity of work performed and provides training and development opportunities as appropriate. Confers regularly with employees to identify specific training needs and monitor the training of new employees. Communicate regularly with employees on progress toward defined performance goals, giving praise or constructive criticism as appropriate. Initiates corrective action when necessary. Maintains written documentation of performance. Completes written performance evaluations on each employee within the established time frame, obtaining and considering all relevant information. Review evaluation with employees and discuss proposed salary action prior to implementation. Recommends salary actions based on job performance. Recommends employee promotions, discipline, and dismissal based on careful, documented performance evaluation. Conducts extensive research to compile information needed to generate reports, complete projects, and accurately respond to questions and concerns: Communicates organizational goals and objectives to staff Monitors and provides timely feedback regarding the unit’s work to the direct supervisor Monitors and provides timely feedback to staff regarding the quality of their work Provides direction to staff in interpreting and applying office procedures Evaluation unit policies, and procedures, and recommend changes to the direct supervisor to ensure that the assigned unit is functioning efficiently Plans and conduct regular staff meetings Completes pre-service audits are done timely to ensure successful submission of claim. Completes ASO Registration and CONCURRENT authorizations. Performs resolution of failed claims as directed by supervisor. Works BHAN needed report to ensure they are scheduled in a timely manner. Completes admin discharges for no services within 60 days. Prepares discharge letters for admin discharges, template will be provided. Acts as the Safety Coordinator for their site and completes all Health and Safety duties. Schedules all transportation for clients that need assistance through TRIPS. Scheduling of group/conference rooms as needed; this also includes scheduling of pharmaceutical representatives’ luncheons Acts as liaison between outside vendors, creditors, and other agencies to gather or report program-related information: Ensures for timely and accurate filing, retrieval, and distribution of member files within the agency Provide accurate and timely processing of incoming and outgoing mail for the agency Coordinates the agency receptionist service providing timely and accurate routing of calls, dissemination of information, and greeting of guests according to agency policy. Completes facility tickets and submit them to Facility Tickets. Notarizes licensure documents for clinical staff as needed and affidavits for clients. Is responsible for petty cash in the cash drawer Completes second signatures on weekly paperwork that will be sent to Accounts Receivable for processing Performs other duties as assigned Minimum Qualifications : High school diploma or GED AND 2 years of experience required at the lower-level position (GSS082) or position equivalent. Must show ability to lead and supervise a team.
