Administrative Support Specialist
Description
We are currently recruiting for a full time Administrative Support Specialist for our Reading, PA office.
Responsibilities
• Prepare and assemble individual and business tax return packages
• Organize, scan, and electronically file tax and financial documents using firm systems
• Proofread and format tax returns, financial statements, and correspondence for accuracy and consistency
• Track document progress and coordinate with professional staff for finalization
• Maintain and update client records and files (physical and electronic) using systems such as CCH Axcess, Document, and Engagement
• Compile and review source documents (e.g., invoices, expense reports) for completeness; prepare summary reports for review
• Provide general administrative support: printing, scanning, copying, mail handling
• Assist with ad hoc tasks and document preparation as needed during busy periods
• Occasionally deliver priority mail to the post office
• Work extended hours as required during tax season and peak times
Requirements
Qualifications
Required
• Associate degree required; bachelor’s degree preferred
• Minimum 2 years of office experience in an administrative or document-processing role
• Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint)
• Exceptional attention to detail and organizational skills
• Ability to manage multiple tasks and meet deadlines in a fast-paced setting
• Professional demeanor with a strong sense of confidentiality
• Excellent written and verbal communication skills
Preferred
• Experience in a public accounting or professional services firm
• Familiarity with CCH Axcess, ProSystem fx, or similar tax/accounting software
• Knowledge of general accounting and tax terminology
• Experience assembling tax returns (individual and business)
