The Administrative Assistant for Internal Affairs assists the Associate Dean for Administration and Student Development by providing a variety of services including developing budget recommendations and justification, monitoring budget expenditures, orienting students and staff to law school and University policies and procedures, assisting with handling sensitive staff and/or student information and forms; participating in long-range planning for the law school; preparing required reports; planning and carrying out special projects which require analysis, evaluation and interpretation; and coordinating the daily workflow in the office. The Administrative Assistant for Internal Affairs also works closely with the Director of Student Affairs to plan and host events for the students.
Essential Functions and Responsibilities
1. Composing general correspondence.
2. Data entry related to HR and accreditation.
3. Compiling and organizing presentation and meeting materials.
4. Assisting with the preparation of materials for receptions, conferences, and other law school related functions.
5. Maintaining the law school administrative suite supplies and submitting supply orders online as needed.
6. Performing errands for the law school on and off campus.
7. Assisting with coordinating and executing special projects and events including, but not limited to, receptions, co-curricular tournaments, student organization events, conferences, guest speakers and distinguished visitors, and annual degree presentation ceremony.
8. Preparing expense reports.
9. Answering phone calls and greeting all constituents at the School of Law main reception desk as needed.
11. Other duties as assigned.
Qualifications, Credentials, and Competencies • A bachelor's degree and at least one year of experience in administrative support is required.
• Must be proficient in MS Office suite, file maintenance, editing, and proofreading.
• Experience in an academic setting is preferred.
• Effective communication both verbally and in writing.
• Ability to intuitively reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature.
• Regularly lift 10 or fewer pounds.
• Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
