JOB SUMMARY
The Assistant Director - Donor Experience (AD-DX) plays a pivotal role in cultivating generosity by executing high-touch, personalized donor engagement strategies that align with Club Sports team initiatives, alumni priorities, and discipleship outcomes. This individual is responsible for managing a donor portfolio with a strong emphasis on personalized digital and in-person engagement, donor upgrades, event support, donor meetings, dollars brought in, donor count, pipeline growth and post-giving processes that reinforce a culture of generosity. The Assistant Director - Donor Experience will successfully accomplish this through their collaboration with our Club Sport Coaches and other departments including Marketing and Communications, Alumni Relations, and Development. This position reports to the Assistant Athletics Director of Development, Club Sports.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
PRIMARY OBJECTIVES
• Work in the EverTrue platform as the main source of communication, tracking, portfolio management etc.
• Increase the quality and quantity of donor interactions.
• Drive donor upgrade asks using tailored storytelling and impact metrics.
• Lead and track personalized outreach campaigns tied to individual Club Sports teams.
• Ensure consistent follow-up and engagement following a donor's first gift.
• Partner across departments to create a seamless and spiritually enriched giving experience
DONOR & ALUMNI ENGAGEMENT
• Manage a portfolio of active and prospective donors (with clear metrics for outreach, meetings, and giving outcomes).
• Design and execute custom communication campaigns for Club Sports teams (video messages, handwritten notes, personalized emails, etc.).
• Assist in coordinating donor-related elements of team and alumni events (pre-event invites, onsite engagement, post-event follow-up).
• Conduct upgrade-level donor asks-encouraging recurring giving, scholarship support, or project-specific contributions.
• Participate in Giving Day strategy by building donor pipelines and coordinating with Club Sports coaches on personalized outreach
• Coordinate with Club Sports Development team on Alumni initiatives to keep donors informed of alumni news, milestones, and spiritual wins.
• Assist in coordinating donor seating, team dinners, facility tours, or special access privileges during Club Sports events.
PROJECT MANAGEMENT & COMMUNICATIONS
• Manage, create and track personalized outreach cadences for specific donor segments that best align with fundraising goals.
• Use platforms such as EverTrue, Gravyty, and CRM systems to build data-driven campaigns and leverage technology to capitalize on communication strategies.
• Oversee the new donor follow-up process-including welcome videos, follow-up notes, and communication workflows.
• Maintain a donor interaction log and ensure timely entry of contact reports, outcomes, and next steps.
• Collaborate with marketing and development teams to generate impact content for newsletters, donor features, and social media.
• Provide monthly reports on donor touches, upgrades, campaign performance, and alumni involvement
• Partner with Club Sports coaches to gather team-specific stories, needs, and donor opportunities.
• Help develop and maintain team-specific donor strategy documents tied to scholarships, facility needs, missions initiatives etc.
CLUB SPORTS ADMINISTRATIVE RESPONSIBILITIES
• Set annual, quarterly and monthly goals to ensure execution of department strategy
• Update monthly reports ensuring departmental goal progress
• Update quarterly reports ensuring departmental goal progress
• Oversee Alumni and Donor areas of Club Sports for Liberty's strategic plan
• Complete coaches end-of-year evaluation for area
• Maintain coaches manual annually to reflect the area's SOP
• Plan to attend Club Sports department events when possible
• Keep "on-boarding checklist" aligned with area needs
• Responsible for p-card reconciliations for Varsity Club area
• Work with ADS, Development, Center for Donor Engagement, Business Relations and Alumni Relations
• Responsible for executing back-end operational support on CRM, Giving Portal, GravyTy, EverTrue, Club Sports Website, Argos, Tabelau and Banner
• Manages HR and workday needs for direct reports
• Oversee evaluation/feedback loops from donors, alumni, coaches, staff to identify improvement needs
• Assists with other various tasks as assigned by leadership
QUALIFICATIONS AND CREDENTIALS
Minimum Qualifications
1. Bachelor's degree required.
2. Excellent interpersonal, written, and verbal communication skills across mediums, especially email, video and video conferencing.
3. Strong knowledge of customer care
4. Ability to articulate and defend the unique Christian educational mission and vision of Liberty University and its subsidiaries to a wide variety of individuals and groups.
Preferred Qualifications:
1. At least 1 year of experience in sales, or in a lead customer service position.
Education and Experience:
1. Bachelor's degree required.
2. 1 year Experience in higher education fundraising or alumni relations as a student or professional (preferred).
3. Self-motivator.
4. Ability to inspire and share stories of impact verbally.
5. Ability to work autonomously as well as collaboratively.
6. Strong ability to establish priorities and manage multiple demands and assignments.
7. Attention to detail and exceptional volunteer management skills.
