Administrative Coordinator - School of Medicine and Health Sciences/Department of Nursing
The University of Lynchburg , a private, regional university in the beautiful foothills of the Blue Ridge Mountains in Central Virginia, is seeking applicants for a full-time Administrative Coordinator position for the Department of Nursing and School of Medicine and Health Sciences.

Position Summary:
Responsible for providing administrative assistant duties for the SMHS Dean and support for SMHS faculty with a focus on the School of Nursing.
Specific Job Duties:
• School Deans, faculty and programs
• Provides administrative functions and support for the Dean and Associate Dean. Handles confidential correspondence and records. Performs administrative duties, exercising judgment and independent decision-making.
• Develops and maintains SMHS databases and spreadsheets to allow for easy data input, maintenance, and retrieval as needed.
• Assists leaders with the preparation and management of all material adhering to standards of the University of Lynchburg and SMHS Program Accreditation Organizations.
• Presents a positive, congenial image in greeting and interacting with the public.
• Assists the Deans in preparation of the annual budget and the academic course schedule, including classroom assignments.
• Collaborates with the Dean, Associate Dean, Program Directors, and other campus Administrative Assistants to enhance efficiency and assist in meeting School goals and objectives.
• Assist in organizing special events, including accreditation visits, as needed. Schedules office and offsite meetings/conferences, resources, and travel.
• Compiles, maintains, and monitors all budget items including school accounts and department purchasing cards.
• Assists leaders with SMHS marketing material for programs including handout and promotional material. Web content manager for the SMHS official web pages.
• Assists with the coordination of space for the SMHS programs including alumni functions and speakers.
• Creates and revises SMHS and program/departmental forms as needed.
• Assists search committees through administrative support
• Coordinates with physical plant and ITR for maintenance and repair of SMHS equipment, facilities, and technology.
• Performs other related duties as may be required.
• Responsible for ordering and maintaining the inventory of office supplies.
• Creates and monitors databases for adjunct faculty and SMHS faculty and staff.
• Performs special data retrievals, data input, and file maintenance.
• Serves as secretary to the SMHS-related meetings. Schedules meetings, prepares and distributes agendas, and records minutes of the meetings to distribute in a timely manner.
• Nursing Program
• Provides administrative support in the preparation of annual reports and assists with the gathering of appropriate documentation for program accreditation.
• Responsible for coordinating the office, phone, and computer setups for new faculty. Assists with orientation of new faculty and staff (full and part-time, adjunct) regarding office procedures, etc.
• Maintains databases for current students and clinical agencies including tracking and updating nursing students’ health and academic requirements
• Assists the Program Director of Nursing and/or Clinical Coordinator with generation of clinical agency contracts and securing necessary signatures.
• Assists the Clinical Coordinator with updating inventory and ordering lab supplies, and coordinating lab equipment purchases and repairs.
• Assists Program Director of the Nursing Program with planning community advisory board and clinical focus group luncheons.
• Responsible for ordering and delivering award certificate plaques and gifts from the program to the Dean’s office for the academic awards banquet, and for ordering engraved award plaques for display.
• Coordinates with physical plant and ITR for maintenance and repair of computer lab equipment and facilities and technology.
• Sorts and distributes mail and packages.
Qualifications
Experience/Skills:
• Ability to communicate effectively and to understand, comprehend and follow directions
• Excellent oral and written skills for effective communication via phone, internally and with the public
• Good mathematical skills necessary for preparation of reports and other assigned projects
• Must have good teamwork and supervisory skills
• Proficient in Google Suite and Microsoft Office
• Must be a self-starter, detail-oriented, organized, and able to handle multiple priorities in a fast-paced environment
Physical Demands:
• Prolonged standing/setting/wrist movement
• May involve some amount of time walking, lifting, standing, and bending
• Must be able to carry items up to 10 pounds
Education:
• High school degree and computer skills training. Post-high school education preferred.

Schedule:
