General Description The Maintenance Coordinator plays a crucial role in the development and realization of our strategic asset management plan, emphasizing the integration and optimization of our computerized asset management system. Under general direction of the Water/Wastewater Operations Manager, this role involves the supervision and management of key functions.
Central to this position is the efficient and compliant implementation of the Asset Management Maintenance Strategies, encompassing both its utilization and the corresponding maintenance activities. The Maintenance Coordinator is entrusted with the oversight of the department’s preventative, predictive and corrective maintenance, ensuring that all initiatives align with our broader objectives.
Additionally, the Maintenance Coordinator contributes to budgeting decisions, identifies training necessities, and suggests operational modifications to enhance efficiency and effectiveness. This role is pivotal in ensuring that our asset management practices not only align with but set industry benchmarks.
Essential Job Functions • Contribute to the development and rollout of the Department’s asset management program, maintenance strategies and other maintenance related tasks.
• Collaborate with the Asset Manager on setting and monitoring KPIs, risk assessment, emergency response plans, and risk mitigation strategies.
• Ensure the consistent use and integrity of the Computerized Maintenance Management System (CMMS) and provide staff training.
• Actively participate in internal audits for compliance with ISO 55001 standards and implement corrective actions based on findings.
• Engages with stakeholders on maintenance initiatives or enhancements.
• Use computerized tools for maintenance reports to comply with regulations.
• Analyze data for system efficiency, anticipate maintenance needs, and monitor KPIs.
• Produce regular reports on maintenance activities, asset conditions, and compliance.
• Review and update maintenance guidelines and procedures with the Asset Manager.
• Periodically reviews work records entered into the CMMS for accuracy and completion.
• Manage the execution of preventative and planned maintenance activities for Utilities assets, equipment, and structures.
• Coordinate major maintenance tasks, ensuring compliance with operational procedures and warranties.
• Supervise daily activities, focusing on safety and efficiency; oversee staff assignments.
• Mentor and manage the maintenance team, promoting safety and continuous improvement.
• Oversee hiring, reviews, and other supervisory tasks; deliver essential staff training.
• Assist in formulating and optimizing budgets for maintenance and capital projects.
• Collaborate with management for procurement of essential tools and resources.
• Evaluate equipment life cycles, recommending necessary actions.
• Address customer concerns about service quality.
• Collaborate on Capacity, Management, Operations, and Maintenance (CMOM)-compliant documentation and process improvements.
• Engage with vendors and contractors to coordinate work requirements, progress, and adherence to standards.
• Liaises with internal and external stakeholders regarding capital improvement projects and major maintenance activities.
• Formulate safety analyses and procedures for equipment.
• Participate in vulnerability assessments and develop site and asset security plans in alignment with federal and state agencies.
• Maintain staff training on relevant safety guidelines and regulations.
• Respond and manage resources for 24-hour operations in emergency situations.
• Contribute insights to expansions and project management concerning assets.
• Conduct on-site inspections and approve work procedures for quality.
• Perform other duties as assigned.

PHYSICAL REQUIREMENTS
The work is medium: exerting up to 50 pounds of force occasionally and up to 25 pounds of force to move objects. Additional requirements include balancing, bending, climbing, crawling, crouching, feeling, fingering, grasping, handling, hearing, kneeling, lifting, mental acuity, pulling, pushing, reaching, repetitive motion, speaking, standing, stooping, talking, visual acuity, and walking.
(Occasional=1-3 Hrs.; Frequent=3-5 Hrs.; Constant=5-8 Hrs. – Per Workday)
WORK ENVIRONMENT

While performing the duties of this job, the employee occasionally works near moving mechanical parts and frequently in outside weather conditions and is frequently exposed to risk of electrical shock and vibration. The employee occasionally works in high, precarious places and is daily exposed to fumes or airborne particles and toxic or caustic chemicals.   The noise level in the work environment is usually moderate to extreme. The work environment will vary from office work to responding and assisting incident command and utilities functions at emergency situations.  Position requires the operation of a City vehicle.
Knowledge/Skills/Abilities • Ability to read and interpret technical manuals, Safety Data Sheets, and project plan sets from plan and profile views.
• Functional knowledge of occupational safety standards and hazards associated with various trades, industrial maintenance, and wastewater treatment and water treatment operations.
• Fundamentals of Water/Wastewater Systems: A clear understanding of the principles and practices of water and wastewater treatment, distribution, and collection systems.
• Equipment Knowledge: Familiarity with the types of equipment used in water/wastewater utilities, including pumps, valves, motors, and various instrumentation tools.
• CMOM and Regulatory Compliance: Knowledge of CMOM standards and other federal, state, and local regulations related to water/wastewater utilities.
• Computerized Maintenance Management System (CMMS): Experience with CMMS tools that help in scheduling, tracking, and reporting maintenance activities.
• Risk Management: Understanding of potential risks associated with water/wastewater utilities and knowledge of mitigation strategies.
• Safety Standards: Knowledge of Occupational Safety and Health Administration (OSHA) guidelines and other relevant safety standards specific to water/wastewater utilities.
• Budgeting & Cost Management: Ability to manage and optimize maintenance budgets, forecast expenses, and control costs.
• Project Management: Skills in coordinating, overseeing, and ensuring the completion of projects within the stipulated time frame and budget.
• Documentation & Reporting: Ability to maintain meticulous records and generate detailed reports for compliance, performance tracking, and other needs.
• Vendor Management: Skills in negotiating with and managing contractors, vendors, and suppliers.
Education, Experience, Licenses and Certifications Education and Experience:
• Bachelor's degree in a relevant field such as engineering, facilities management, or public administration, or a comparable amount of relevant education and experience
• Minimum 5 years Utilities experience preferred
(A comparable amount of training, education and/or experience may be substituted for the above qualifications.)
Licenses and Certifications:
Must possess and maintain a valid Florida Driver's License.
Emergency Response Responsibility
Every City employee has emergency response responsibilities, though not every position will require routine assignments during an emergency event.  All employees are subject to recall around the clock for emergency response operations, which may require irregular work hours, work at locations other than the normal work location, and may include duties other than those specified in the employee's official job description. Assignments in support of emergency operations may be extensive in nature, with little advance notice, and may require employees to relocate to emergency sites with physically and operationally challenging conditions.
