Receptionist
Position Summary
Under the direction of the Operations manager, the Receptionist main task is to provide assistance and support to customers, guests, vendors, and internal staff via telephone and in person.
Job Responsibilities include but are not limited to:
• Responsible for front reception area including cleanliness, greeting guests and ensuring they sign in (Security measures for building access/Visitor badges) and informing appropriate parties when they have guests waiting for them.
• Answer phone calls promptly and efficiently
• Direct incoming calls to appropriate personnel
• Maintain professional appearance & cleanliness of their work area
• Order and maintain office supplies for the company
• Distribute daily mail
• Calendar management
• Assist with tasks as assigned, which may include running errands for the building, etc. and/or events for special meetings.
• Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data and graphics.
• Maintains appointment schedule by planning and scheduling meetings, conferences, and teleconferences.
• Prepares reports by collecting and analyzing information.
• Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
• This is a summary and does not include all responsibilities. Job duties and responsibilities can/will change under the direction of the Operations Manager.

Knowledge and Skills:
• High School Graduate or GED REQUIRED
Work Experience:
• Minimum of 13 years in Administrative Assistance Experience
Skills and Competencies:
• Detail oriented with excellent organization skills.
• Proficient in working with Microsoft Office Excel, Word, PowerPoint and Outlook.
• Superior Customer Service Skills
• Ability to work within a team or independently as required
• Excellent communication skills and interpersonal skills are required
• Professional and courteous behavior
• Good English communication skills both verbal and written
• Bilingual is a plus! (English & Spanish)
Physical Requirements
• 100% Office Setting, including sitting, some bending, walking and viewing.
