With oversight and direction from the Director and Medical Director of the Center for Standardized Patients and Simulation (CSPS), the Simulation Coordinator works to coordinate the educational and operational activities of the center. The Simulation Coordinator supports the administrative, operational, and accreditation efforts of the department and collaborates with the CSPS team in the planning, implementation, and scheduling of educational activities. The coordinator ensures adherence to program policies, course objectives, program outcomes, and current best practice and safety measures.
Essential Functions and Responsibilities
1. Assists in the development, updates, and monitors simulation policies, procedures, use, and operation in accordance with accreditation standards.
2. Coordinates and prepares all accreditation documentation to ensure department accreditation portfolio is current and available for site reviewers or LUCOM leadership at any time.
3. Maintains meeting minutes in a shared folder for all department meetings.
4. Provides administrative and operational support to the Medical Director for courses or clerkships she/he leads.
5. Provides administrative and operational support to the Clinical Director of Health Records and Outreach.
6. Monitors and schedules use and movement of the simulation center's space and lab equipment ensuring conflicts of space and/or equipment are resolved or reported for resolution.
7. Assists in the creation and maintenance of a respectful and professional working environment, incorporating active learning, reflective thinking, and a confidential debriefing process.
8. Maintains databases for administrative and operational data used to evaluate learning and satisfaction with the provision of services provided by the center.
9. Provides tracking and reporting of faculty CME hours.
10. Maintains the department's supply inventory and ensures the safe storage and disposal of hazardous materials, such as sharps boxes.
11. Monitors and assures appropriate standards of lab cleanliness, assists with equipment maintenance, repair, and replacement, as necessary.
12. Coordinates with CSPS staff and faculty members to ensure space requirements and supplies for educational activities are available at the time of the activity.
13. Provides budget recommendations based on scheduling activities.
14. Maintains the Simulation Center as a clean, safe, and optimal learning environment.
15. Monitors stock levels for all activities and maintains storage areas to a high standard of organization.
16. Models professional standards, including customer service, collaboration, communication, excellence, confidentiality, and attendance.
17. Assists the assistant directors with simulation and standardized patient activities, which include operational, technical, and administrative support.
18. Develops and refines skills expertise. Identifies opportunities for improvement.
19. Assists with preparation, setup, and cleanup for labs, including PCM labs.
20. Other duties as requested and/or assigned.
Qualifications, Credentials, and Competencies
1. High school degree or GED required.
2. Bachelor's degree preferred.
3. Basic skills proficiency, a creative resourcefulness, and an aptitude for learning quickly.
4. Proficiency with operation and maintenance of simulation high-fidelity manikins, simulation software, and audio-visual equipment.
5. Knowledge of or experience in standardized patient encounters.
6. Strong project management and administrative support experience.
7. Certification as a Certified Healthcare Simulation Educator (CHSE) or Certified Healthcare Simulation Operations Specialist (CHSOS).
8. Knowledge of medical terminology.
9. Strong ability to work with and learn a variety of computer systems.
10. Ability to maintain confidentiality.
11. Demonstrated time management skills and organizational skills.
12. Ability to problem-solve.
