What We’re Looking For
The Staff Accountant, Grants & General Ledger supports accurate, timely financial reporting with a primary focus on grant invoicing, budget monitoring, and general ledger reconciliation. The role safeguards the integrity of grant transactions, ensures compliance with funder requirements, and assists with accounts payable, bank reconciliations, and audit preparation.
What You’ll Do
• Grant Accounting & Invoicing
• Prepare and submit timely, accurate invoices for government, foundation, and other restricted grants
• Reconcile grant activity, including allocated salaries, fringe, indirect costs, and other direct expenses, to ensure accurate cost accounting and compliance
• Monitor grant budgets versus actuals, flag variances, and prevent overspending
• Maintain comprehensive documentation to support all grant billings, drawdowns, and closeouts
• Partner with program managers to align financial data with program deliverables and timelines
• Assist with grant closeout, renewal, and audit inquiries
General Ledger (GL) Support
• Prepare and post journal entries for month-end and year-end close
• Reconcile general ledger accounts including grant receivables, deferred revenue, prepaid expenses, and accrued liabilities
• Maintain schedules for restricted funds and ensure accurate release of net assets
• Support the preparation of monthly financial statements and internal reports
• Recommend process improvements to strengthen internal controls and reporting accuracy
Accounts Payable & Expense Coding
• Code and process invoices and check requests to the appropriate grant, department, and account
• Verify approvals, ensure proper documentation, and enter payments into the accounting system
• Maintain accurate vendor files and respond to inquiries professionally
• Research and resolve discrepancies with vendors and internal stakeholders
Bank & Cash Reconciliations
• Assist with monthly bank and credit card reconciliations
• Ensure grant-related cash transactions are accurately recorded
• Prepare reconciliation entries and resolve outstanding items promptly
Audit & Compliance Support
• Prepare reports, schedules, and supporting documentation for the annual financial and single audits
• Support internal reviews of grant compliance and financial controls
• Respond to auditor and funder requests in a timely and professional manner
• Other duties as assigned
What We Require
• Bachelor’s degree in Accounting, Finance, or related field required
2–5 years of nonprofit accounting experience with a focus on grants and general ledger reconciliation
Proficiency in Microsoft Excel and accounting software such as Blackbaud NXT
Strong understanding of GAAP and nonprofit fund accounting
Excellent Attention To Detail, Organizational Skills, And Communication Abilities
Ability to manage multiple priorities and meet deadlines in a fast-paced environment
What You’ll Get
• Salary Range: $65,000 - $70,000 annually
• Tentative Work Schedule: Monday to Friday, 9am to 5pm
