High School ECA Secretary
This is a twelve-month secretary position
Basic Responsibilities
The primary responsibility of a secondary school secretary is to assist the school administrators and other staff members in such a manner that will enable them to successfully fulfill their duties and responsibilities in creating and maintaining a safe and effective school environment. The secretary is responsible for setting and maintaining a cordial and cooperative atmosphere in the office when dealing with students, parents and staff. Above all, the secretary maintains confidentiality and a quiet, orderly atmosphere in the office.
The primary responsibilities of the NCHS Extra-Curricular Treasurer include, but are not limited to:
• Maintain proper accounting procedures and records of all high school ECA transactions in compliance with State Board of Accounts using EPES, a web-based accounting program.
• Processes all purchase order/payment vouchers by reviewing budgets, writes and distributes checks in accordance with State Board of Accounts.
• Serves as sponsor for Cash Change, Collection for Others, Homecoming, General, Investment Income and Trojans Remembered accounts and trains and supervises 25 to 30 Sponsors and Club Treasurers.
• Maintains proper vendor files and provides CEC with documentation needed to complete annual 1099-NEC tax forms.
• Orders, prices and sells workbooks, stocks the school supply machine and keeps inventory of a small Bookstore.
• Oversees vending operation and service calls to vending company or personnel.
• Prepares and processes bus requisitions and custodial request forms, audits fundraisers and verifies concession inventories and concessions end of year reports and disbursements.
• Computes and distributes monthly reports for the School Board, Administration and each club and uploads in Gateway.
• Responsible for high school ECA audits performed by State Board of Accounts.
• Reviews incoming mail and interschool correspondence, files and organizes. Verifies and types ticket reports, prepares change for extra-curricular activities and daily needs.
• Responsibilities for book adoption process: Works with Department Heads and Principal to order and receive textbooks, stamping and marking of texts and distribution.
• Oversees book rental collection and deposits. Reports book rental activity to Corporation Treasure twice a year.
• Processes student fee statements and mailings of invoices/statements for collection.
• Serves as AlioCash representative.
• Completes reports for Kinum twice per year for collections.
• Tags free/reduces lunch students in Power School for identification.
• Completes State Report for Free/reduced students before October of each year with an update the following June.
• Provides for the collection of non-sufficient funds checks by letter, phone and prosecution.
• Prepares all high school extra-curricular certification and reimbursements to the Corporation for bus drivers, payroll and custodians.
• Prepares annual financial report for School Board and submits report in Gateway as required by State Board of Accounts.
• Other "end of year" work includes cross checking all vouchers with ledgers for completeness, removing all records from office to storage and preparing new files for upcoming fiscal year, updating computer files, purging vendor files and closing unused accounts.
• Completes any other task or duty assigned by building or corporation administrators.
