This position provides administrative support to the Public Utilities Department. Prepare business correspondence, budget entry, PO/contract entry, and reporting functions. Are you a multi-tasker, problem-solver, and prioritizer, with analytical skills, who can work independently and make judgment decisions? This role also requires the highest level of customer service skills as daily interacts with the public is the foundation of this department.
Job Description
Administrative – communicate with county officials, regulatory, directors, senior managers, agencies, and external customers.
Customer Service – drafts and proofreads correspondence and reports for division managers, provide in-person customer service, including receiving correspondence via e-mail and phone, manages complex calendars, including scheduling and coordinating of internal/external meetings, attends and takes meeting minutes, writes standard operating procedures, assist/coordinate with special projects, research and respond to the department’s customer concerns, and provide updates to the organization chart.
Financial functions - budget preparation, input, reporting, and tracking, purchase requests, invoice approval process, purchase card coordinator and holder, process Clerk forms for payment/reimbursements, monitor contracts for expirations/renewals, and operating funds, and inventory liaison.
Communications – public records retention liaison, creative services contact, updates to the Contact Center Knowledge Base.
Emergency Services – FEMA field representative, department operating center role, including the management and updating of the departmental Continuity of Operations Plan.
EIT – annual computer refresh program, updates/housekeeping to cloud/web-based, software systems, and drives.
General Services – space planning, maintenance requests.
Human Resource functions - training and development outreach, ADA requirements.
Legislative items – process electronic Board and Contract items.
Work Hours: Monday – Friday, 8:00 a.m. – 5:00 p.m.
About You
Minimum Qualifications:
High School Diploma or GED
2-5 years of administrative and computer experience
NOTE: Once year of college may substitute for one year of experience.
Preferred Qualifications
College coursework in Business
Related professional certification
Job Competencies
Knowledge of standard office procedures and composition of correspondence.
Ability to provide excellent customer service under pressure in a fast-paced environment and establish and maintain effective working relationships with co-workers, supervisors, and customers. Intermediate accounting skills.
Knowledge of Microsoft Office 365.

Pay: $16.03 – $20.64
