About Our Job
Provides high level of professional, administrative, and technical support to the Beaches and Water Access Parks Division (BWA) and the Sarasota County Parks, Recreation and Natural Resources Management Department (PRNR). Assignments are of substantial variety, broad in nature, requiring independent judgement and ranging from accomplishment of administrative related functions to working in the field, working events, and serving as a resource in the resolution of problems and issues. This position reports directly to the BWA Division Manager.
Job Description
Provides administrative support to management requiring tact, diplomacy, and confidentiality.
Develops Division communications and composes letters requiring research, analysis and/or decision making.
Handles a wide range of administrative duties needed within the division.
Manages calendars and schedules meetings and distributes meeting minutes.
Coordinates input from Division staff on a variety of assignments and projects to include Smartsheets and the division newsletter.
Answers/responds to phone calls and screens customer emails. Provides exceptional customer service to internal and external customers.
Provides adequate response to policy, legal or regulatory issues. In coordination with supervisors and staff, updates Division’s web site information and coordinates social media content following Department’s protocol.
Coordination of inventory tracking, purchasing, and disposal.
Monitors and tracks the Division’s budget, purchasing and provides input on budget needs.
Entry of purchase requisitions and change orders in One Solution following Procurement guidelines.
Process invoices for payment by reviewing OnBase, and coordinates with supervisors and staff for timely invoice approval and subsequent payment.
Purchasing Card Account Coordinator for the Division. Reviews Pcard transactions, signs-off in Works, and prepares a monthly reconciliation packet for the Office of Financial Management (OFM).
Participates in budget preparation, data entry, and assists in the monitoring and updating through the fiscal year.
Coordinates with the Department’s Procurement Liaison for contract renewals and amendments. by reviewing vendor proposals and insurance certificates for contract consistency and policies.
Coordinates with Department’s Division Managers for establishment of yearly Purchase Orders for needed services.
Maintains Division’s account information for electricity, water/sewer, trash, and recycling services.
About You

An associate degree from an accredited college or university.
4-6 years of clerical or administrative experience with some executive exposure.
Year-for-year experience may substitute for the college degree.

Some lead or supervisory experience may be required
Pay: $18.32 - $24.04
