About Our Job
Sarasota County is seeking an Assistant to the Transit Director-Administrative Specialist III, who will provide day-to-day high-level professional, administrative support and assistance to the Director as required to support Transit operations. For cross training purposes, you will maintain a complete understanding of services provided by the fiscal division including accounts payable and receivable and you will perform a variety of other functions supporting the management team and day-to-day operations of Transit. Your assignments will be of substantial variety and complexity, broad in nature, and require independent judgment of administrative functions. In this position, you will provide customer service, clerical, secretarial, processing and/or internal financial related functions. You must maintain the confidentiality of correspondence, documents, discussions, meetings, and telephone calls as well as support the mission and vision of the county and department.
Job Description
Manage workflow of assignments within the department, including items for director’s review and tracking deadlines
Manage calendars and logistics for meetings and events as needed, including for the advisory committee
Draft, format, proof, coordinate signatures, and circulates correspondence for the director
Research data and business matters
Manage and organize files, serves as department’s records management and public records coordinator
Track payments received and coordinate related documents with finance team
Vendor/procurement coordination
Interface with County Offices
Interface with external entities on behalf of the director, including FDOT, FTA, CTD, other municipalities, etc
Assist in performance management
Assists in welcoming new office employees, including logistics of workspace preparations
Serves as customer service liaison for director’s office
Coordinate office equipment logistics
Coordinates the Department Disaster Preparedness Plan (DDPP) for the director’s office and in alignment with the department lead
Prepare & assist with contracts, legal documents
Prepare eGenda packets and track all department eGenda items in process
Hours
Monday- Friday, 8:00 a.m. -5:00 p.m.
About You
Minimum Qualifications:
Associates degree from an accredited college or university and 4-6 years of clerical, administrative and computer experience, with some executive exposure.
Year for year experience may substitute for the college degree.
Valid Florida Driver’s License.
Preferred Qualifications
Skilled task management
Advanced professional certification
Executive Assistant experience
Knowledge of processes utilized by Sarasota County

Pay Range: $18.32 - $23.36
