Position Summary:
The Office Assistant will assist the Purchasing Department with administrative support, vendor communication, and order tracking. The ideal candidate must be able to work quickly and accurately, manage a high volume of emails, and be confident using Microsoft Outlook and learning new computer systems quickly. This position requires someone who is sharp, organized, and highly responsive.
Key Responsibilities:
• Review and respond to vendor emails quickly and professionally using Outlook
• Approve purchase orders and confirm order details with vendors promptly
• Enter and maintain accurate order notes and records in SAP Business One
• Follow up on open orders and update tracking or delivery information
• Assist with price checks, quote requests, and supplier follow-ups
• Maintain organized digital files and documentation for all purchasing activity
• Support the Purchasing Manager and department with other administrative tasks as needed
Requirements
Qualifications:
• High school diploma or equivalent required
• Previous experience in purchasing, administrative support, or a fast-paced office role
• Proficient in Microsoft Outlook, Excel, and Word; experience with SAP Business One or similar ERP software strongly preferred
• Must be highly computer-literate and confident managing email workflows
• Fast and accurate data entry skills
• Strong organizational skills and the ability to multitask under pressure
• Clear communicator, both verbally and in writing
• A quick thinker with the ability to troubleshoot and resolve issues promptly
