Department - Specific Responsibilities
• Administrative support is integral to the work of the Center for Faculty Development.
• Answers phones and delegates calls.
• Answers, responds, and forwards emails.
• Develops communications from the center.
• Forwards messages about teaching and learning related information to faculty and adjuncts.
• Develops newsletters and other forms of communication.
• Serves as the "face" of the center (the first individual faculty, adjuncts, and staff come into contact with).
• Assist with reporting of center activities.
• Schedules appointments with consultants and director and for the new video room.
• Keeps minutes for center meetings.
• Makes travel arrangements for consultants and director.
• Reconciles billing and manages expenses in chrome river.
• Assists with budgeting for the center - tracks and reconciles expenses.
• Maintains and updates website.
• Serves as mediator between administrative duties and cross campus collaboration.
• Supports the Executive Director of Enrollment Services.
• Answers phone calls with internal and external partners.
• Schedules appointments with internal and external partners.
• Coordinates calendar and maintaining availability.
• Assists with data reporting of Enrollment Services.
• Creates Agendas and maintain minutes for departmental meetings.
• Creates, develops, and manages PO Requests.
• Manages Travel.
• Arrange travel- Conferences, Meetings, hotels, etc.
• Mileage Reports- Reconciles mileage.
• Reconciles billing and manages expenses on behalf of Enrollment Services.
• P-Card Management for all departments.
• Assists with budget management for departments within Enrollment Services.
• Assists with maintaining and updating website.
• Assists with approval of timesheets for non-exempt staff.
• Assists with approval of leave requests/PTO for reporting staff.
• Assists with college events as needed.
• Other duties as assigned/requested by direct supervisor.
General Responsibilities
• Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy.
• Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports.
• Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately.
• Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses.
• Participates in the development and implementation of administrative standards, policies and practices for the organization.
• May perform other duties related to maintaining an internal website and/or working with social media.
EDUCATION
Required
• High school diploma or equivalent (such as HSED or GED)

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus.
