Who we are looking for:
We are seeking a dedicated and detail-oriented Accounting Assistant to join our team. The successful candidate will Coordinate and participate in the daily operations of the postage and receivables processes. Participate in the monthly close out process. Timely and accurate recording of postage and receivables transactions. Maintain collections of all open invoices.
What you will be doing:
• Participate in effective communication between the Operations Project Manager’s, Upper Management, Clients, Sales, and Accounting departments
• Process Cash Receipts daily, generate pre-invoices and invoices, and send invoices to clients.
• Address and resolve issues pertaining to invoicing, postage, and cash receipts
• Assist in collections activity
• Generate monthly reports for Manager approval
• Monthly reconciliation of client postage accounts
• Monitor multiple email inboxesand respond/escalate emails
• Maintain proper files and accurate financial records
• Help prepare documents for client led and internal financial audits
• Assist in entering vendor invoices as needed
• Update and inform the Accounting Manager of opportunities that require immediate action
• Monitor outstanding pre-invoices and ensure all items are coded in the correct period
• Monitor current accounting procedures, ensuring close attention to detail that all items are coded in the correct period
• Participate in process improvement by suggesting procedural improvements
• Complete billing duties when needed
• Support and cooperate with the other employees in the duties and responsibilities assigned
• Other responsibilities as assigned
Who you are:
• Strong accounting background with a focus on Receivables and Collections experience
• 1-3 years of accounting related experience.
• Excellent communication and organization skills
• High attention to detail with the ability to identify and correct problems in short time frame
• Good level of competency using computer systems, spreadsheets, and word processing programs
• Flexible schedule to facilitate the cyclical nature of workload
• Commitment to continued development
• Professional work habits and ability to work with all levels of employees and customers
