RESPONSIBILITIES
Develop with the Program Manager, maintain and effectively communicate a project calendar to include regular scheduled meetings, report dates and key events on the project. Ensure accountabilities are clarified for each calendar item.
Support the Program Manager as required on ad-hoc requests/issues requiring management.
Actively participates in developing and implementing policy and procedures to drive ongoing improvement efforts.
Support the Program Manager in the preparation, design updating and communication of project reports including sourcing up to date KPI information.
Schedule and attend meetings, create and distribute minutes.
Must take initiative with limited direction to execute requirements.
Establish effective communication routes with key project reps, Vertiv executives and customer representatives to identify information that is at variance to our plan. Report such information to the Program Manager for resolution/escalation.
Support the Program Manager in developing a data center standard project life cycle and process for use on future projects.
Support for Program Managers to identify key project information/records/procedures.
Act as backup to Program Manager to run meetings and address and resolve project issues when the Program Manager is out of office.
Ensure that project records are uploaded to the project intranet and designated project management system to ensure good practice is maintained. Highlight areas where records are not up to standard.
Maintain the workflows and ensure they are followed where documentation is issued between internal Vertiv departments.
Keep a confident and clean work environment on the Project Management Tools.
Track task, responsibilities and due dates; driving action and accountability.
Maintain respectful and efficient communication with the customer, making sure we track and deliver all requirements on time.
File and archive pertinent project documentation, internal and external files.
Perform visual site inspections, to suppliers, to internal Vertiv Manufacturing Plants and to Customer Sites.
QUALIFICATIONS
Minimum number of 2 years of experience in project management, construction, or manufacturing.
Demonstrates ability to plan, set priorities, organizes and coordinates work with others.
Builds good relationships.
Is persuasive, assertive, demonstrates diplomacy and tact.
Demonstrates professionalism (e.g., cooperation, courtesy, assertiveness, and non-defensiveness, accepting constructive criticism, and maintaining confidences).
Demonstrates good customer relation skills by providing prompt personalized service.
Effectively handles stressful situations (resolving conflicts and meeting deadlines).
An ability to prioritize and be flexible to meet deadlines.
Experience with Project Management Tools, preferably Procore, Oracle and Smartsheet.
