Medical Records Coordinator
Position Summary: Under broad supervision, responsible for the oversight of agency processes of releasing protected client health information. Organizes the workflows to ensure processing and tracking agency requests efficiently and timely. Ensures releases & practices are consistent with agency policy and in accordance with ethical, legal, and regulatory requirements.
Job Responsibilities And Performance Standards
• Organizes & manages the operations of medical record staff.
• Oversees the volume of requests and assigns tasks to ensure timely processing.
• Ensures team processing of records complies with policies and procedures; implements needed changes.
• Maintains reports and tracking of historical a processed ROI and information requests.
• Completes ROI audits quarterly by reviewing information; notifying providers of record deficiencies; tracking outstanding records. Provides reports on findings, analyzes trends and areas needing improvement.
• Provides training, feedback and works collaboratively with all departments on the internal ROI process.
• Resolves medical record discrepancies by collecting and analyzing information.
• Processes PHI request and ensures availability by routing records to admissions and emergency departments, physicians, and other authorized staff, maintaining chart location systems.
• Maintains process and tracking of agency record archive by abstracting, coding data and using standard classification systems. Reviews agency program prepared records prior to storage pick up and coordinates with agency designated vendor.
• Arranges external pick up of on-site records.
• Provides medical record information by answering questions and requests of clients, staff, law firms, insurance companies, and government agencies.
• Maintains patient confidentiality and protects agency operations by following protocols.
• Maintains the stability and reputation of the organization by complying with legal requirements.
• Keeps equipment operational and supplies necessary to process information requests.
• Works collaboratively with agency Finance department to collects, track & process payments related to medical record processing. Prepares invoices, deposits, and required financial records.
• Attends all meetings and trainings. Completes all other duties, project or requests as assigned.
Minimum Qualifications
• High school diploma or GED AND certification as or equivalent AND Three years of experience in medical and/or legal compliance.
• Strong organizational skills,
• Exceptional written and oral communication.
• Efficient with Microsoft office suite & applications.
• Experience working in Electronic Health Care Records
Preferred Qualifications
• Knowledge and understanding of current HIPAA laws.
• Familiarity with procedures and policies relating to all aspects of the Medical Records system.
• Legal experience in HIPAA
• Netsmart EHR experience
Certificates, Licenses, Registrations
Registration Health Information Administrator (RHIA), CEHRS (Certified Health Care Records Specialist), Paralegal or equivalent.
