Preferred Qualifications Position Summary
The primary function of this position is to perform various business operations and office management tasks for the Department of Food Science and Technology. Incumbent uses outstanding communication skills, excellent time management, and works in a fast-paced environment to meet the business needs of the Faculty, Staff, and Students. Key functions include department building, laboratory, and equipment management.

Financial
Financial Processing & Accounting:
• Prepares vendor payment requests.
Procurement & Purchasing:
• Initiate purchase orders for research and teaching materials in departmental labs and classes.
• Oversee faculty and staff purchasing within UGAmart and perform periodic cleanup of outstanding POs.
• Troubleshoot purchasing issues for faculty and staff and communicate with various vendors regarding orders in progress.
• Submit invoices through UGAmart for payment in a timely fashion.
• Process check requests to pay invoices and reimbursements to individuals for miscellaneous purchases relating to research and travel.
Travel & Expense:
• Processes travel reimbursements for faculty, staff, and students.
• Provide administrative and financial oversight of departmental conferences as needed.

Department Facilities and Equipment Operations
Facilities & Space:
• Oversees assignment of office space, mailboxes, and keys.
• Manages building access.
• Assist with scheduling department conference rooms (Room 127, 215, and 235) for meetings, thesis defense seminars, or student exams.
University & Vendor Liaison:
• Serves as the primary liaison to University auxiliary services (e.g., FMD , Automotive Center, OIT , Property Control & Surplus, and external vendors for equipment repair and maintenance).
• Approve and maintain relative paperwork for iLab Solution orders.
Vehicle & Transportation:
• Request account setup for vehicle rental through FMD Automotive Center and approve vehicle rental requests submitted.
• Monitors department's state vehicles and parking passes.
• Maintenance & Mileage Logs - Issuing vans for use within and outside the department. Ensure that all insurance information and coverage are correct.
Equipment & Technology Management:
• Maintains and updates service agreements for department equipment.
• Manages A/V equipment in department conference/teaching rooms, monitoring devices and coordinating repairs and maintenance as necessary.

Administrative
Office Operations:
• Day-to-day office/clerical operations for the Department of Food Science & Technology; first line of contact with faculty, staff, students, alumni, visiting scholars, vendors, and other visitors.
• Order office & copier supplies.
• Maintain files for auditing purposes.
• Assists Department Head with special projects as assigned.
Shipping, Receiving, and Logistics:
• Sign for and distribute all Central Receiving and CRS packages daily.
• Receive, distribute, and ship deliveries for various labs in Food Science.
• Prepare deposits for pickup by UGA carrier, UGA Foundation, and UGA Marketplace.
HR Support:
• Backup for Administrative Specialist with job postings and hiring proposals for student and temporary workers in UGAJobs.
• Assist new students and temporary workers with onboarding as needed.
