Operations / Event Coordinator

About the Role:
As our Operations & Event Coordinator , you’ll play a key role in managing the daily operations of our mentorship program while also planning and executing high-quality virtual and in-person events. You’ll be responsible for ensuring a seamless experience for our students, coaches, and team while keeping workflows efficient and organized. Key Responsibilities: Program Operations & Student Success
• Oversee the onboarding process for new students
• Handle student inquiries, facilitate communication between students and leadership, and provide ongoing program support
• Maintain and update internal workflows to improve efficiency across operations
Event Planning & Execution
• Plan and manage virtual and in-person bootcamps
• Coordinate logistics, including venue selection, travel, catering, and event materials
• Organize guest speakers, panelists, and event schedules
• Send registration emails, manage attendee lists, and oversee event communications
• Track and report on event success metrics, including participant engagement and lead generation
Administrative & Process Management
• Oversee program-related expenses
• Maintain contracts, program scorecards, and key performance tracking documents
• Assist with customer service emails, student inquiries, and general administrative tasks
• Support leadership with special projects and new initiatives
• Manage internal tools such as HubSpot, Zoom, Wistia, and project management software
What We’re Looking For:
• 2+ years of experience in operations or program management
• Strong organizational and multitasking skills, with a keen eye for detail
• Excellent written and verbal communication skills
• Ability to problem-solve and adapt quickly in a fast-moving environment
• Tech-savvy and comfortable using HubSpot, Google Suite, Zoom, and project management tools
• Experience working in a mentorship, coaching, or education-based program is a plus
This job is remote, however, you are required to be in person at events. Local to the Sarasota/Tampa area.
