Job Description
Status: Hourly | Type : Full-time | Work Schedule: In-Office | Office Hours: 8:00 AM – 4:30 PM
Position Overview: The Office Coordinator is the backbone of our office operations, enabling a productive environment for our team and creating a positive experience for every visitor who steps through our doors. The role is essential to maintaining an efficient, welcoming, and polished office space that reflects our organization’s commitment to excellence. This individual will be responsible for a wide range of duties to ensure our workspace remains well-stocked and organized. As a key liaison with the EVP and Managing Director of Operations & CTO, the Office Coordinator will provide timely updates and aid in setting up office activities to support the leadership team in creating a seamless work environment. This position requires dedication, integrity, and a passion for creating top-tier office experience.
Key Responsibilities:
Office Supplies Management: Ensure office and pantry supplies are always fully stocked. Place regular orders to prevent shortages and respond quickly to any ad hoc supply needs.
Maintain schedule of office maintenance tasks such as quarterly HVAC maintenance, and janitorial services; assist as needed. Coordinate scheduling with maintenance vendors such as air conditioning technicians, pest control, maintenance and janitorial services, etc. to ensure the office is well-maintained.
Mail & Packages: Retrieve, sort, and distribute mail and packages daily. Maintain organized handling and recordkeeping of all incoming and outgoing mail.
Common Area Preparation: Prepare common areas for guest arrivals, stocking bathroom supplies and maintaining the conference room in pristine condition. Prepare for meetings with necessary supplies and ensure the conference room is reset for future use.
Lobby Presentation: Ensure the lobby is always client-ready, providing a welcoming and professional atmosphere.
Maintaining the conference and meeting room calendars; schedule appointments as needed. Incoming phone coverage and re-directing of calls as needed.
Projects: At direction of management, assist in projects within the firm for items such as data validation, clerical input, or other special projects as necessary.
Daily Communication: Regularly update the EVP and Managing Director of Operations on office-related matters, handling inquiries and addressing any issues promptly.
Other duties as assigned.
