General Description
Under general supervision, performs specialized clerical work related to activities within a courtroom setting; responsible for the security and maintenance of legal records/evidence.
Examples Of Duties (Essential Functions)
Print court calendars and order files scheduled for hearing. Review files for proper notice, bond amount, attorney representation, outstanding warrants/capias; verify pleadings and documents for special hearings or motions. Prepare forms prior to hearing and organize files. Record case activity on original court calendars for entry into the criminal justice system or juvenile justice system. Attend court proceedings to provide an accurate record of disposition; receive, label and maintain accountability of evidence, administer oath to jurors, witnesses and defendants; prepare verdict; complete paperwork required for disposition of case; obtain signatures from the judge on sentencings, bond reductions and/or orders. Prepares probation and/or community control orders defining conditions; prepares commitment packets to the Department of Corrections and Sentences to County Jail reflecting terms of incarceration or instructions from the court; distribute documentation to correction facilities, attorneys and parties involved. Complete paperwork on directives issued by the court (i.e., warrants, capias, bond estreatures, suspension of license, etc.). Distribute copies to agencies and parties involved. Post files after court proceeding to maintain updated accounting of each case. Input and retrieve information from hearings and weekend advisories into an automated system. Receive advisory paperwork from Sheriff's Department; copy probable cause affidavit and attachments for agencies; verify case numbers and the degree of offense charged; input information from advisories (weekday and weekend) into an automated system. Respond to complex questions from the related agencies pertaining to court process. Performs other duties as required.
Typical Qualifications And Minimum Qualifications
Knowledge of general office practice and procedure, including business English, spelling, and arithmetic. Working knowledge of court procedures, terminology and the clerical operation of the courts. Knowledge of the Florida Statutes related to assigned area of responsibility. Knowledge of departmental rules and regulations related to Clerk’s functions and responsibilities to the judiciary. Ability to rapidly acquire working knowledge of special criminology and of administrative and procedural regulations regarding evidence control. Ability to multi-task and prioritize. Ability to understand and carry out complex oral and written instructions in an impromptu setting. Ability to communicate orally and in writing. Must have legible handwriting. Must be skilled in the operation of a calculator, computer literate and have the ability to use a keyboard with speed and accuracy. Must have graduated from high school or possess an accredited equivalency diploma. Two years experience in an advanced clerical position, preferably working in local government entity and/or equivalent business school training. A comparable amount of training and/or experience may be substituted for the minimum qualifications.

Skilled in use of Calculator, PC, microfilm readers/printers, copiers and general office equipment. No supervisory responsibilities. Ability to service the judiciary. Answer questions from the public regarding the court process. Effective working relationships with coworkers, employees, judiciary and officials within State/County offices required. Accuracy is required when processing all court documents and directives. Incorrect information on sentence paperwork, issuance of warrants, capias and suspensions may result in the arrest of a defendant. May process records of confidential nature. Ability to sit for extended periods of time. Lifting, stretching, stooping and bending required. Ability to work at a fast pace with constant interruptions and time restraints set by judiciary. Ability to work in a controlled environment (i.e., courtroom). Requires the flexibility to work overtime as required by the court schedule.
