Summary
Create all individual hot check accounts on the computer. Attempt to collect as much money as possible toward payment of accounts. Maintain all monthly bookkeeping records and responsibility for all money received. Advise injured parties, defendants, attorneys and various court personnel about all aspects of hot checks, from receipt through possible conviction.
Essential Duties And Responsibilities
• Balances and records all receipts from attorneys and check writers including restitution received in person and by mail
• Posts and balances all deposits received on "NON-CHECK" restitution accounts initiated by a court order
• Calculates and balances daily bank deposit to daily register close-outs. Prepares and makes deposits for office
• Assists defense attorneys and bondsmen with printout information on worthless check history of their client and with criminal history data
• Assists and answers all questions for check writers regarding court appearances, printouts of account balance history, and the First Offender Program
• Initiates, formulates, and assists check writers with formal written and other pay out arrangements. Attempts to collect as much restitution as possible for injured parties. Establishes payment amount and due dates. Explains consequences of failure to comply
• Balances all daily, weekly and monthly receipts to computer account balances
• Keeps totals on deposits to Hot Check Fee Fund. Balances records for all offices in order to make weekly deposits with the County Auditor
• Maintains control of electronic signature disk. Delivers to Information Technology and supervises signing, printing and sealing of checks for collected restitution to be sent to injured parties
• Previews all First Offender Applications for completeness and answers all questions about forms and programs. Verifies eligibility on Criminal Justice database
• Updates and adds correct data in hot check database on all hot check complaints, including correct check writer, injured party, and check date, amount and complaint number
• Communicates with prosecutors, probation officers and other court personnel regarding account balances, information on account printouts, case dispositions and disbursement of restitution
• Maintains sequential numeric files on all hot check complaint files with this office
• Merge, delete and corrects database as needed due to data entered incorrectly or as directed by Investigators
• Locates and assists check writer and Attorneys in viewing hot check evidence files
• Analyzes court disposition of cases. Determines how to update and balance hot check accounts (ex: credit time served, probation, indigent, dismissal…). In cases of court ordered pro-forma probation, must explain payment procedures and consequences of non-compliance to defendant
• Answers all phone inquiries from check writers (account balance, court date, payout arrangement, persuade them to come and pay). Answers phone inquiries from injured party (how to file a check, laws, requirements to help collect loss, information to help prevent lost or improve chances of collection in the future). Answers phone inquired from attorneys (defendants account balance, court and docket setting information)
• Performs all other related duties as assigned
Minimum Requirements
To apply, must have a High School diploma, GED or higher education.
To apply, must have five (5) full-time years of bookkeeping AND criminal justice experience.
To apply, must be bondable with no prior criminal record.
To apply, must do ten-key by touch, have math skills and MUST BE ABLE TO TYPE 60 WPM.
Requires excellent communication skills, attention to detail, accuracy, good attention span and organizational skills.

While performing the duties of this position, the incumbent is regularly required to sit, stand, walk, bend, stoop, lift, push and pull.
