Executive Assistant
As the Executive Assistant, you will act as a liaison between the clients and Financial Advisors by interfacing with clients daily to provide exceptional service. This position requires the individual to communicate predominantly on the phone and electronically with clients.
We are looking for someone who is efficient. They must be able to work quickly and accurately with great attention to detail. Patient, resourceful and personable communicator, who enjoys taking initiative and requires minimal supervision. Experience in a fast-paced environment, computer knowledge is a must for this role; but most importantly someone who enjoys talking to clients with an upbeat personality and building positive relationships in order to maintain and grow the client base.
Job Responsibilities
• Develop a positive rapport to attract and retain clients.
• Administrative functions related to this position include actively maintaining advisors’ calendars & schedules, entering & tracking notes in client database, and managing opportunities.
• Manage real-time inquiries, while monitoring and responding to commitments for clients.
• Responsible for inbound and outbound client calls.
• Field incoming calls from clients and determine the best approach to a solution - knowledge of team members and their roles with-in the business unit, is key to servicing the client and resolving issues.
• This position will also assist the service team when necessary by processing withdrawals and other fund related paperwork, communication with the fund companies regarding client matters, etc.
• Maintain open communication with advisors and other team members, alerting them to any client issues or concerns.
• Record relevant information in the client database with close attention to detail, consistency and accuracy.
• Resolve or escalate client issues.
• Responsible for the preparation of client/advisor meetings, to include maintaining marketing materials, preparing conference rooms and greeting clients when they come for in-office visits.

** 60-Day Trial Period **
After trial period, base pay will be an annual salary of $40k+, PTO, Retirement Plan, Floating Fridays and more.
