Operations & Administration Manager
Sarasota Paradise is seeking a highly organized Operations & Administration Manager to oversee and optimize the club’s day-to-day operations. This individual will be responsible for ensuring that critical administrative, financial, and operational tasks are completed efficiently while helping build out processes for long-term scalability.
This role is a mix between an Office Manager and an Operations Manager , requiring a detail-oriented and proactive person who can ensure compliance, keep staff accountable, and coordinate key logistical and administrative tasks across the organization.
Key Responsibilities
Administrative & Financial Oversight
• Ensure all business compliance needs (sales tax filings, licenses, and registrations) are met on time.
• Handle simple bookkeeping tasks, working closely with accountants to maintain financial records.
• Build and maintain operational processes and procedures across all departments.
• Ensure all key deadlines and deliverables across the club are tracked and met.
USL League One & Player Operations
• Lead the USL League One onboarding process, ensuring all league requirements and deadlines are met.
• Manage player and coach contract processes by coordinating with the Sporting Director, legal counsel, and the league/federation.
• Ensure player registration, work permits, and other compliance-related tasks are completed accurately and efficiently.
• Oversee and coordinate travel logistics for the team, including flights, hotels, and transportation.
Internal Operations & Accountability
• Keep track of deliverables and ensure that staff members complete tasks on time.
• Act as a point person for operational problem-solving, helping streamline inefficiencies.
• Develop and document internal workflows for improved club operations.
• Assist in various project management tasks, ensuring cross-department coordination.
Additional Responsibilities
• Support the CEO with administrative and operational needs.
• Oversee office management functions, ensuring smooth day-to-day club operations.
• Assist in other operational projects as the club scales up.
Qualifications
• Experience in operations, administration, or project management (sports or team environment preferred).
• Strong organizational and multitasking skills, with an ability to keep others accountable.
• Understanding of bookkeeping and basic financial compliance.
• Experience with contract management and working with legal teams is a plus.
• Ability to manage multiple deadlines and logistics under pressure.
• Excellent communication and problem-solving skills.
